Job description

Job Title: Document/Records Clerk

Duration: 12 Months (High Possibility of Extension)

Location: Riverside, CA

Rate Range: $ 30/hr - $ 36/hr

Job Description:

We are seeking a detail-oriented Document/Records Clerk to support document control, records management, and digitization activities for transportation and infrastructure projects. The ideal candidate will organize, verify, scan, and maintain project records within Electronic Document Management Systems (EDMS) while ensuring accuracy and compliance. This is a full-time, onsite role requiring excellent organizational skills, attention to detail, and the ability to work independently.

Job Responsibilities:

  • Retrieve, organize, and track archived project records using established tracking systems.
  • Review physical and digital documents to ensure accuracy, completeness, and quality.
  • Scan, upload, and accurately index documents into the Electronic Document Management System (EDMS), preferably Laserfiche.
  • Maintain and update document tracking logs, reports, and project status using Microsoft Excel.
  • Organize and standardize digital files, folder structures, and document naming conventions in SharePoint and network drives.
  • Identify missing, duplicate, or incomplete records and coordinate with project teams to resolve documentation gaps.
  • Prepare archive boxes for retention, storage, or secure disposal according to company procedures.
  • Support the creation and maintenance of centralized project documentation, including As-Built records.
  • Lift and move archive boxes weighing up to 50 lbs while handling records safely and efficiently.
  • Perform additional administrative and document control tasks as assigned by management.

 

Basic Qualifications:

  • Minimum 2 years of experience in administrative support, records management, or document control.
  • Experience working with Electronic Document Management Systems (EDMS); Laserfiche experience is preferred.
  • Strong proficiency in Microsoft Office Suite, especially Microsoft Excel.
  • Excellent organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.

Additional Information:

  • Location: Riverside, CA (100% Onsite – No Remote/Telework).
  • Full-time schedule of 32 hours per week in a collaborative office environment.
  • Experience in engineering, construction, transportation, or project documentation is a plus.
  • Position involves repetitive document review and physical handling of archive boxes weighing up to 50 lbs.
  • Opportunity to support large-scale infrastructure projects while contributing to document accuracy, compliance, and long-term records management.
