Position Title: Assistant Supervisor - Document Control Center

JOB SUMMARY:
The Asst DCC Supervisor is responsible for overseeing the day-to-day operations of the Document Custody Center (DCC) in cohesion with the DCC supervisor, including document management, shipping and logistics, workflow coordination, production planning, and employee supervision. This position reports directly to the asst director of operations and works collectively with the DCC supervisor and will lead a team of 20 or more employees while ensuring operational efficiency, quality standards, productivity goals, and SLA compliance.
RESPONSIBILITIES:
  • Supervise and lead a team of 20+ employees, including scheduling, coaching, and performance management.
  • Manage all DCC processes including Trailing Documents, Recording, Scanning, Shipping, and Document Storage workflows.
  • Meet with DCC supervisor on a weekly basis to develop ongoing daily production and staffing plans based on volume forecasts. Communicate and facilitate task to leads and staff.
  • Ensure adequate workflow is assigned to onshore and offshore teams and monitor production output.
  • Review offshore production, identify errors, and provide feedback.
  • Monitor client and internal SLAs and productivity metrics.
  • Manage shipping and logistics processes for client document deliveries.
  • Coordinate daily with offshore teams on production requirements.
  • Train and onboard new team members.
  • Partner with IT to resolve system issues.
  • Conduct performance reviews and corrective action when necessary.
  • Support special projects and perform other duties as assigned.
  • Supervisor will visually observe work conduct and productivity of other LOB's during 2nd shift

Position Requirements
REQUIREMENTS:
  • High School Diploma or GED required; associate or bachelor's degree preferred.
  • 3-5 years of supervisory experience.
  • Previous experience managing 20 or more employees required.
  • Minimum 3 years of experience in document custody, mortgage operations, logistics, shipping/receiving, inventory management, or related operations.
  • Strong knowledge of mortgage documents and document classification.
  • Excellent Microsoft Office skills, particularly Excel, Word, Outlook, and PowerPoint.
  • Strong communication, leadership, and organizational skills.
  • Experience coordinating offshore teams preferred.
  • Ability to work flexible hours and adjust staffing based on workload fluctuations.

Physical Requirements:
This position requires you to be able to lift up to 25 pounds.
