Job description

Administers document and record control operations, policies, and procedures for the secure management and access of company information assets. Maintains and enforces security protocols for the access, storage, backup, maintenance, reproduction, protection, and disposition of all documents. Evaluates media formats and follows storage requirements to protect and secure records/information.

Duties and Responsibilities:

  • This role involves ensuring that documents are up to date, accessible, and meet the regulatory and companystandards.

  • The specialist will work closely with various departments to ensuredocumentationaccuracy andintegrity.

  • Oversee the document management system, ensuring documents are correctly cataloged, stored, andaccessible.

  • Establishes and implements policies and proceduresregardingdocument storage, sharing, transmission, and destruction.

  • Evaluates existing document management systems and procedures todeterminecurrent effectiveness and efficiency;identifiesandrecommendsimprovements.

  • Consultswith end users toidentifyproblems in accessing electronic content.

  • Ensures security of system and integrity of master documents by implementing document and system access rights and revision controls.

  • Ensurescompanycomplies withapplicable laws and regulationsregardingdata security and document management.

  • Communicates and consults with other staff when assessing,acquiring, or deploying new electronic document management systems to ensure smooth transition and minimal disruption.

  • Maintains current knowledge of best practices and developments in document management technologies and techniques through participation in professional organizations or conferences, attendance at meetings or workshops, participation in educational programs, and discussions with colleagues.

  • Performs other related duties as assigned.

MinimumJob Requirements:

Education/Certificationsand Experience:

  • Associate's degree in a related field, or equivalent work experience

  • Minimum of3years of experience in document control or a related field, preferably in a regulated industry.

  • Knowledge of regulatory compliance requirements.
