Job description

JOB SUMMARY
The Equipment Administrator serves as the administrative coordinator for the Equipment Department. Prepares and submit reports to the corporate office as required, performs necessary logistical and financial tasks, distributes documents and manages files, monitors the communications systems, and does all other tasks as deemed necessary by the Equipment Manager.
Job Description
  • Effectively communicate job site issues to project team
  • Process invoices
  • Route documents, correspondence, both internally and externally
  • Communicate between all parties involved in equipment transfers, and maintain the equipment transfer records
  • Assist HR with on-boarding of new hires
  • Prepare field purchase orders
  • Track materials
  • Maintain surveillance on the communications systems in use at the facility and in the field, noting deficiencies, and arranging for repairs when necessary
  • Maintain document control, to include filing and uploading to SharePoint
  • Order all necessary office and safety supplies for the office
  • Assist with the safety program by assisting in the preparation of First Reports of Injury reports and other safety documentation as needed
  • Create and assist employees with expense reports
  • Keep accurate Certificate of Insurance records from Vendors and Subcontractors
  • Sort department emails
  • Maintain all employee and equipment time in Heavy Job

Job Requirements
  • High School Graduate, preferably an Associate's Degree or equivalent.
  • At least two years in an administrative or customer service environment.
  • Must be able to use all Microsoft Office software and SharePoint proficiently
  • Excellent organizational skills
  • Excellent interpersonal skills
  • Excellent oral and written communication skills
  • Maintain the confidentiality of all documentation, information and processes
  • Must be able to lift up to forty pounds on an occasional basis
