We are looking for an experienced Dental Treatment Plan Coordinator / Office Manager to join our established practice. The ideal candidate is a motivated leader with exceptional communication skills, strong knowledge of dental insurance and treatment planning, and a proven ability to manage daily office operations while delivering outstanding patient care.
Responsibilities:

  • Lead and supervise all office team members, ensuring performance expectations and production goals are consistently met.
  • Monitor the daily schedule to maximize production by confirming appointments, minimizing cancellations and no-shows, and proactively filling open appointment times.
  • Maintain efficient day-to-day office operations to achieve productivity, financial, and patient satisfaction goals.
  • Present and explain doctor-recommended treatment plans, ensuring patients fully understand their treatment options, financial responsibilities, and payment arrangements.
  • Address patient questions and concerns with professionalism, empathy, and confidence.
  • Perform patient chart audits, coordinate clinical hand-offs, and update treatment plans as directed by the treating doctor using the practice management system.
  • Follow up with patients regarding outstanding or unscheduled treatment to increase case acceptance and treatment completion.
  • Verify insurance eligibility and benefits, collect co-payments, and accurately estimate patient financial responsibility.
  • Process dental insurance claims, post insurance and patient payments, and reconcile accounts.
  • Monitor and follow up on outstanding insurance claims and accounts receivable to ensure timely reimbursement.
  • Track patient balances and assist with collections while maintaining positive patient relationships.
  • Educate patients on available payment options and financing solutions.
  • Perform general administrative and office management duties as needed to support practice operations.
Qualifications
  • Minimum of 3 years of experience as a Dental Treatment Coordinator and/or Office Manager in a dental practice.
  • Demonstrated leadership and team management experience.
  • Extensive knowledge of dental insurance plans, billing, claims processing, and accounts receivable.
  • Proven experience presenting and closing dental treatment plans.
  • Strong understanding of basic and advanced dental terminology.
  • Excellent written, verbal, and interpersonal communication skills.
  • Highly organized with strong attention to detail and the ability to multitask in a fast-paced environment.
  • Results-driven with a positive attitude, competitive spirit, and commitment to exceeding performance goals.
  • Proficient in Microsoft Office applications.
  • Experience with Dentrix is strongly preferred.
  • Bachelor's degree is preferred but not required.
  • Bilingual (English/Spanish) is a plus.
