Job description

TheLoading Dock Manageroversees alllogisticsrelated to the hotel's loading dock, receiving, and distribution operations including group load-in and load-out activities. This role ensures that all inbound and outbound deliveries are managed safely, efficiently, and in strict adherence to the hotel's policies, luxury service standards, and security protocols.

As a key leader in the back-of-house operations, the Loading Dock Manager acts as thecentral pointof coordination between vendors, Purchasing, Security, Engineering, Housekeeping, Food & Beverage, Spa, and all operational departments. This rolemaintainsthe highest levels of organization, accuracy, cleanliness, and safety to support seamless hotel operations.

DUTIES & RESPONSIBILITIES:

Loading Dock & Receiving Operations

  • Manage daily operations of the loading dock,ensuringsafe, orderly, and controlled accessat all times.

  • Oversee the receiving of all hotel goods: OS&E, F&B non-food items, linens, amenities, spa products, engineering parts, retail merchandise, and packages.

  • Ensureperishable items areimmediatelyrouted to proper storage areas upon receipt (e.g., refrigerated, frozen).

  • Enforce proper scheduling for vendor deliveries to prevent congestion and ensure efficient flow.

Vendor & Delivery Coordination

  • Serve as the dock's main point of contact for all vendors, delivery drivers, and service partners.

  • Confirm vendor compliance with hotel protocols, including ID requirements, safety rules, and traffic flow.

  • Work closely withPurchasing ondelivery issues, backorders, damaged items, or discrepancies.

  • Assistwith group load-in and load-out coordination.

Inventory Movement & Distribution

  • Coordinate prompt distribution of OS&E and non-perishable goods to the correct departments.

  • Oversee logging and secure movement of equipment and high-value goods throughout the property.

  • Communicate with all departments for delivery and pickup of OS&E.

Safety, Security & Compliance

  • Enforce safety standards, including PPE requirements, equipment handling procedures, and emergency protocols.

  • Maintain secure access control in partnership with Security and follow proper contractor/vendor sign-in procedures.

  • Ensure compliance with hotel policies, local regulations, fire codes, and food safety standards.

  • Document all incidents, delivery issues, or policy violations and report toDirectorof Purchasing.

Cleanliness & Organization

  • Maintain an impeccably clean, clutter-free, and well-organized loading dock and receiving area that reflects five-star hotel standards.

  • Oversee daily cleaning checklists and waste/recycling management processes including power washing and grease traps.

  • Monitor equipment (pallet jacks, lifts, carts) and coordinate maintenance or repairs.

  • Maintain company vans and trucks, including monitoring registration, insurance, fuel levels, tire pressure, and fluid levels. Coordinate maintenance and mechanic visits as needed, and track fleet usage throughKeywatcher(fleet key management system).

Leadership & Team Management

  • Directly supervise and manage a team of Mailroom Clerks, providing day-to-day direction, performance feedback, and accountability to BHC standards and SOPs.

  • Participate in the hiring, onboarding, and performance evaluation of direct reports in partnership with the Director of Purchasing and People and Culture.

  • Foster a collaborative culture with other departments toanticipateand meet operational needs.

REQUIRED SKILLS & EXPERIENCE:

  • Valid driver's license required; ability tooperatebox trucks to off-site locations as needed.

  • Minimum 3 years of experience inlogistics, warehouse operations, receiving, or supply chain management; luxury hospitality experience preferred.

  • Forklift certification required,or ability to obtain certification upon hire; ability tooperatea pallet jack.

  • Basic computer skills and experience with Microsoft Office preferred.

  • Strong understanding of receiving procedures, inventory control, and vendor management.

  • High integrity, attention to detail, and a proactive problem-solving approach.

  • Ability to remain calm and organized in fast-paced, high-volume operational periods.

  • Ability to coordinate multiple parties effectively during street and dock operations

  • Ability toworkflexible schedules, including early mornings, evenings, weekends, and holidays as needed.

PHYSICAL REQUIREMENTS:

The physical demands described here are representative of those that must be met by a colleague to successfully perform the essential functions of this job:

  • Ability to lift, carry, push, and pull up to 50lbs; occasionallifting upto 75lbswithappropriate equipmentorassistance.

  • Prolonged periods of standing, walking, and moving goods throughout the loading dock,storeroomand hotel areas.

  • Ability to bend, kneel, reach, and climb step stools or ladders.

  • Ability to work in varying temperatures (e.g., outside,dock, coolers, freezers).

  • Clear visionfor reading labels, instructions, and reports.

  • Adequate hearing for effective communication via radios, trafficinteractionand direct interaction with colleagues and guests.
