Job description

Communication Technology Services (CTS) is one of the largest integrators and managed service providers in the U.S., specializing in the design, installation, and support of Distributed Antenna System (DAS), Small Cell, and 4G/5G Private Wireless Networks. We are seeking an AI-Enabled Compliance and Records Systems Specialist to join our Safety and Human Resources team at our corporate headquarters in Marlborough, MA. This is a full-time, in-office position.

We are seeking an organized, tech-savvy AI-Enabled Compliance and Records Systems Specialist to help lead the evolution, organization, and AI-driven automation of our central compliance and recordkeeping systems.

In this high-impact role, you will serve as a key bridge between Safety, HR, Operations, and IT, ensuring our systems are accurate, automated, audit-ready, and seamlessly supporting our field and operational leadership. The goal is to build and support AI-enhanced systems that help CTS manage records, compliance, training, equipment, manuals, inventory, safety programs, prequalification requirements documentation, document retention, and operational records for CTSs national DAS, ERRCS, wireless infrastructure, and public safety communications operations.

The ideal candidate is detail-oriented, strong with data, comfortable with technology, and able to organize records using a structured filing methodology, similar to how a librarian would classify, index, retain, and retrieve information. Strong communication skills are required, as this role will involve regular follow-up with internal departments, field teams, managers, clients, vendors, and leadership.

Key Responsibilities

AI, Automation and Systems Optimization

  • Support development and maintenance of an AI-enhanced tracking and records system.
  • Use AI tools to identify missing records, flag upcoming expirations, summarize information, improve record control, and support compliance follow-up.
  • Build and support systems that help CTS manage training, certification, equipment, tool, calibration, safety, compliance, prequalification, and equipment manual records.
  • Develop consistent document naming, filing, indexing, version control, retention, and archive practices.

Safety and Compliance Support

  • Support CTSs national DAS, ERRCS, wireless infrastructure, and life safety communications operations.
  • Support the Safety/HR Team with compliance tracking, audit preparation, client requests, and safety documentation.
  • Support prequalification and contractor management platforms, including Avetta, ISNetworld, and other client-required compliance systems.
  • Assist with safety prequalification submissions, client compliance requests, safety questionnaires, training records, insurance-related documents, OSHA logs, EMR/TRIR data, written safety programs, manuals, and supporting documentation.
  • Assist with maintaining and organizing CTS safety programs, policies, procedures, forms, manuals, and field support documents.
  • Provide administrative and records support for Safety/ initiatives, audits, incident documentation, corrective actions, training follow-up, and program updates.

Records and Training Administration

  • Build and maintain spreadsheets, dashboards, logs, reports, and follow-up trackers.
  • Track employee training, certifications, expiration dates, renewals, and missing records.
  • Maintain records for safety training, site-specific training, equipment, tools, inspections, and calibration requirements.
  • Maintain and organize equipment manuals, user guides, manufacturer instructions, inspection requirements, maintenance records, calibration documents, and related supporting documentation.
  • Ensure records are accurate, complete, confidential, audit-ready, and easy to locate when needed.

Cross-Functional Collaboration

  • Work with the CIO and IT Team on system structure, data organization, access, reporting, dashboards, and process improvements.
  • Coordinate with HR, Safety, Operations, Operational Leadership, IT, and field leadership to obtain, update, and verify records.
  • Communicate clearly and professionally with employees, managers, clients, vendors, and leadership regarding missing records, upcoming expirations, follow-up needs, and system updates.
