About Gent Heating & Cooling

Gent Heating & Cooling is a family-owned HVAC company serving East Tennessee. We believe great service starts long before a technician arrives at a customer's home. Our office and field teams work closely together, communicate clearly, and take responsibility for their part of the customer experience.

We are looking for an experienced, confident HVAC Dispatcher who can take ownership of a busy service board and keep technicians, customers, and the office moving in the right direction. This is not a role where you simply answer the phone and put appointments on a calendar—our Dispatcher is the operational engine actively managing the flow of each day.

What You'll Do

  • Schedule & Dispatching: Manage the daily service schedule in ServiceTitan. Dispatch and route technicians based on location, skill set, call priority, and drive efficiency.
  • Real-Time Board Management: Continuously monitor the dispatch board and adjust routes dynamically to minimize unnecessary drive time and technician downtime.
  • Team Coordination: Communicate clearly with technicians regarding schedule changes and priorities. Coordinate directly with the CSR team when new service calls are added.
  • Emergency Handling: Make sound decisions when emergency or priority calls need to be integrated into an already full schedule.
  • Proactive Customer Communication: Keep customers informed proactively when arrival times or schedules change. Confirm appointments and prepare the next day’s schedule in advance.
  • Administrative Follow-Up: Follow up on overnight calls, document schedule changes accurately in ServiceTitan, and review the previous day's calls to verify payment collection or invoice issuance.
  • Escalations: Work closely with management when unusual situations or critical escalations arise.


What We're Looking For

The ideal candidate looks at a full dispatch board and instantly starts strategizing priorities, tech capabilities, route logic, and next steps.

  • Experience: Previous HVAC, plumbing, electrical, home-service, or similar field-service dispatch experience is strongly preferred.
  • Software: ServiceTitan experience is a major plus.
  • Key Traits & Competencies:
    • Proactive & Decisive: Comfortable making quick decisions and taking ownership of the board without waiting for direction.
    • Forward-Thinking: Able to think several steps ahead and prioritize without sacrificing efficiency.
    • Strong Communicator: Confident interacting with field technicians and comfortable handling difficult conversations when necessary.
    • Adaptable: Calm and composed when schedules change unexpectedly in a fast-paced environment.
    • Detail-Oriented: Thorough with documentation without getting bogged down in the details.


What Success Looks Like

A successful Dispatcher at Gent:

  • Maintains complete awareness of the board throughout the workday.
  • Keeps technicians productive and routes optimized.
  • Anticipates potential bottlenecks before they turn into emergencies.
  • Communicates schedule adjustments early to prevent surprises for technicians or customers.
  • Protects high-priority service calls while balancing every customer’s needs.
  • Leaves the next day's schedule organized, verified, and ready to execute.
