Job description

Essential Duties and Responsibilities

Freight Brokerage & Load Management

·       Post available company equipment on approved online load boards and brokerage platforms.

·       Search for and secure profitable freight opportunities through approved broker networks.

·       Negotiate freight rates with brokers and customers while maximizing profitability.

·       Schedule and coordinate freight pickups and deliveries.

·       Verify shipment details, equipment requirements, weight restrictions, and appointment times.

·       Ensure all required carrier packets and broker setup documents are completed accurately.

·       Maintain current knowledge of available freight lanes and market pricing.

Dispatch Operations

·       Dispatch loads to company drivers based on availability, hours of service, equipment type, and geographic location.

·       Monitor driver progress and provide operational support throughout transit.

·       Communicate changes in schedules, delays, and customer requirements promptly.

·       Coordinate equipment availability with Operations and Maintenance.

·       Maintain accurate dispatch records within the Transportation Management System (TMS).

Customer & Broker Relations

·       Serve as the primary contact for customers and freight brokers regarding:

o   Shipment scheduling

o   Load status updates

o   Freight pricing

o   Equipment availability

o   Service concerns

o   Documentation requirements

·       Respond promptly to customer inquiries and resolve service issues professionally.

·       Develop and maintain positive long-term relationships with customers and brokers.

·       Communicate service delays proactively.

Documentation & Administrative Duties

·       Prepare and distribute Bills of Lading (BOLs), rate confirmations, and shipping documentation.

·       Submit completed BOLs and supporting paperwork daily to the Accounts Receivable department.

·       Ensure accurate load documentation is maintained for invoicing and recordkeeping.

·       Verify freight paperwork for completeness and accuracy.

Reporting & Data Management

·       Maintain accurate customer, broker, pricing, and shipment databases.

·       Update equipment availability boards daily.

·       Maintain driver dispatch schedules.

·       Prepare and submit weekly brokerage activity reports to the Director of Finance.

·       Track brokerage revenue, margins, and freight activity.

·       Maintain current pricing spreadsheets and customer information.

Operational Support

·       Coordinate loading and unloading appointments.

·       Monitor shipment progress and resolve operational issues.

·       Assist Operations with route planning and equipment utilization.

·       Support customer service initiatives and continuous operational improvement.

·       Perform additional duties as assigned.
