We are seeking a strong admin for a support role for a high-volume, systems-driven real estate practice. The right person is organized, fast, professional, and does not need to be managed. If that's not you, this isn't the right fit.
The ideal candidate is highly organized and knows how to prioritize while managing multiple priorities. Must be a strong written communicator, and proactive with the ability to identify what needs to happen before being told. You are tech-proficient, deadline-driven, and discreet with confidential client information. You stay composed when tension is high and priorities shift - and when you make a mistake, you own it and fix it
Real estate experience is preferred, but not necessary. Executive support, customer service or high-demand client-facing backgrounds preferred.
Responsibilities
• Coordinate and prepare listing files - timelines, disclosures, vendor scheduling, and listing checklists
• Send weekly seller updates
• Organize and prepare buyer tour packages
• Coordinate open house logistics - signage, materials, follow-up sequences
• Manage mailing campaigns - design coordination, list management, and deadlines
• Prepare and execute client touchpoints
• Maintain CRM with clean, up-to-date contact records, notes, and follow-up tasks
• Track marketing activity and ensure campaign consistency
• Handle calendaring, appointment confirmations, and deadline reminders
• Support social media scheduling and content coordination as directed
• Order and inventory client gifts, marketing materials, and branded supplies
• Manage vendor relationships - photographers, stagers, inspectors, title contacts
• Respond to customer needs with urgency and attentiveness
