JOB SCOPE & PURPOSE The Director - Program Management, is responsible for driving the execution of client programs across the agency from conception through delivery. This includes managing scope and resources, budget tracking, and oversight of project workplans. Overall, this position requires a proactive process-oriented thinker who embraces challenges and rallies teams to ensure program success. MAIN RESPONSIBILITIES Primary program management point of contact within the agency for assigned Client Teams and work streams Works with departments (crafts) across the agency to define, estimate, and align on the overall scope of large programs Attends weekly internal status meetings, providing support to PMO team members who lead the meeting Responsible for the project kick meeting with the CoE leads to ensure all parties are fully in agreement in terms of project definition, timing and identification of potential internal or external concerns Ensures PMO team members are managing the development of project workplans inclusive of all crafts and expected timing broken out by craft Works with PMO team members to monitor project progress against the timeline, workplan and Statement of Work (SOW) Addresses and escalates, as needed, variances related to scope, schedule, budget, or quality, ensuring scope changes are internally documented and resolved. Proactively communicates potential risks and works with the team to develop mitigation strategies to resolve issues Regularly communicates updates to account lead to successfully manage client expectations based on the SOW Defines, develops, and implements processes and best practices for Targetbase. Including rolling out new processes across the agency Works with CoE leads to ensure staffing accurately reflects the project's scope and associated timelines If project timing is changed, ensures staffing is updated appropriately Monitor teams’ weekly time entry and escalates missing time and/or inaccuracies to appropriate Craft leads Monitors project budget utilization vs revenue recognition vs project % completion and escalates concern to client leads PERFORMANCE EXPECTATIONS Effectively manages PMO team members across client accounts Ensures Client programs are completed on time and within budget Develops and fosters strong working relationships with internal teams Has a proactive attitude and is considered a team player by peers and managers Adheres to established Targetbase standards and ensures compliance with processes Responsible for process documentation development, review and maintenance. Educates the agency on Targetbase’s processes Effectively communicates with the team to escalate and resolve conflict with positive outcomes Focuses on solutions versus challenges Is a problem-solver; makes decisions based on a combination of analysis, experience and judgment Has strong knowledge of Targetbase’s processes and integrated service offerings. Understands the work performed for the client by each Craft Able to resolve conflict easily and quickly, reducing organizational and interpersonal issues Sets a model for high performance through effective planning, teamwork, strong relationships, strong decision-making, and overall professionalism Committed to the vision and guiding principles of agency and competency EXPERIENCE & EDUCATION 10+ years of relevant, program or project management experience Hands-on experience using Adobe Workfront for building schedules,, approval tracking and general project management Experience working in an agency is preferred Prior success managing direct reports and cultivating junior talent PMP certification highly preferred Bachelor’s Degree preferred KNOWLEDGE & ABILITY Demonstrated ability to lead client marketing program delivery with minimal supervision in a fast-paced environment Strong planning, organization, and coordination skills Ability to manage competing priorities where resources are often shared across multiple programs Strengths uniting various stakeholders and perspectives Strong interpersonal and communication skills across all levels of the agency Solid PC skills and Microsoft software experience (Word, Excel, Outlook) POSITION REQUIREMENTS Overtime as necessary Travel as necessary We work a hybrid schedule - 3 days in office and 2 days working from home.
