What can you expect?
As the Operations Support Administrator, you will work on-site in Anchorage and support various technical and administrative functions to ensure efficient and effective operations for multiple Brice 8(a) companies. Personal initiative and critical thinking skills are essential to complete job duties with minimal guidance. Assignments are deadline driven so incumbent must be able to set priorities, take ownership of projects, work efficiently and provide a consistent level of high-quality work in a high-pressure environment.
How will you do it?
Administrative Support
  • Support the day-to-day operations of Anchorage office
  • Function as back-up to the Office Manager
  • Schedules conference rooms and assists in setting up meetings
  • Orders/stocks office supplies
  • Orders/stocks kitchen supplies
  • Orders office lunches
  • Orders office supplies for new employees
  • POC for copier issues/ monthly meter readings
  • Open/close kitchens daily to include coffee and latte machines, dishwasher unloading and loading, overall tidiness, organizing, cleanliness of appliances, weekly refrigerator cleanout
  • Open/close conference rooms daily to include cleaning of white boards, tidiness
  • Open/close copy areas daily to include organizing, tidiness, restocking copiers
  • Expediting as required
  • Works in a constant state of alertness and in a safe manner
  • Other duties as assigned

Accounting Support
  • Ensure proper administration of the travel and expense policy when generating expense reports and credit card reconciliations with timely processing so that AP close deadlines are being met.
  • Prepare employee expense reports including organizing receipts, account coding and entering expenses into Costpoint.
  • Complete credit card reconciliations including mid-month, monthly and year-to-date for multiple employees.
  • Identify and track expense report receipts as well as assist in locating missing company credit card receipts.

Receptionist
  • Answer and screen incoming calls and takes messages
  • Coordinate visitors by greeting them and directing them to appropriate location
  • Maintain guest sign-in sheet
  • Pick up mail and distributes to staff
  • Receive packages and certified deliveries
  • Prepare and schedule USPS, FedEx, and UPS shipments
  • Coordinate pick-ups and drop-offs with various couriers and deliveries
  • Manage the weekly recycling of office boxes
  • Report on office maintenance/security issues to Office Manager

Supervisory Responsibilities:
This position does not have any supervisory responsibilities.
Knowledge, Skills & Abilities:
  • Excellent oral and written communication skills, and ability to multi-task and manage time.
  • Ability to work in a team environment.
  • Ability to work in an Alaska Native Corporation multi-business environment.

Who is Brice Environmental Services looking for?
Minimum Qualifications:
  • High School Diploma or GED required
  • Three to five years' experience working in a professional office environment required.
  • Two to five years' experience working with accounting functions required.
  • Experience with Microsoft Office and especially Excel required.
  • Valid state driver's license and qualified to operate a vehicle under the conditions of Brice Engineering's Driving Policy required.
  • Ability to pass a drug, driving, and background screenings required.

Preferred Qualifications:
  • Degree in Business or Accounting preferred.

Working Environment:
The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Brice Environmental Services has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes, and occasional overtime for immediate support may be necessary.
