Job description

Operations Director Job Description

Position Summary

The Operations Director provides leadership and coordination of Horizon High School, Madison, WI's core operational functions, including administration, financial processes, student records, development support, facilities coordination, and external relationships.

The position also supports efficient day-to-day operations and helps ensure that Horizon's administrative systems effectively support its mission as a recovery high school serving students throughout Dane County.

Horizon High School is a private, non-profit agency/school licensed in Wisconsin to provide educational resources to students in recovery.

Core Responsibilities

Operations & Administration

●      Coordinate day-to-day administrative and operational functions.

●      Maintain effective organizational systems, records, and workflows.

●      Support implementation of Board-approved policies and procedures.

●      Maintain appropriate confidentiality of organizational information.

● 

Financial Administration

●      Support the Board Treasurer with financial recordkeeping, QuickBooks, budget tracking, and financial documentation.

●      Assist with preparation and maintenance of financial reports and records. ● Support appropriate internal financial controls.

The Board retains fiduciary responsibility and financial oversight.

Student Records & Compliance

●      Maintain accurate and current student administrative records.

●      Support DPI and other required reporting.

●      Coordinate with instructional staff to maintain complete and accurate documentation.

Development & Community Partnerships

●      Maintain grant tracking systems and provide administrative support for grant writing, reporting, and fundraising activities.

●      Support relationships and outreach with Dane County school districts, community partners, families, and referral sources.

 

Facilities & Organizational Support

●      Coordinate with appropriate staff regarding facilities, safety, supplies, transportation, and other operational needs.

●      Support facility planning and transition activities as directed.

●      Provide reasonable operational support to school staff consistent with the scope and qualifications of the position.

Other Duties

Other duties may be assigned as reasonably related to the position and consistent with Horizon High School's organizational needs.

Reporting Structure

The Operations Director reports to the Chair of the Board Personnel Committee and works in concert with the Instructional Team Leader.

The Operations Director collaborates with the Board Treasurer, designated Board committees, school staff, and organizational partners as appropriate.

Qualifications

●      Bachelor's degree or equivalent combination of education and relevant professional experience.

●      Experience in operations, administration, nonprofit management, education, finance, or a related field.

●      Experience with financial recordkeeping; QuickBooks experience preferred.

●      Strong organizational, communication, and project-management skills.

●      Ability to manage multiple priorities and work collaboratively.

●      Ability to appropriately handle confidential and sensitive information.

Preferred

Experience in nonprofit education, youth services, grants/fundraising, financial administration (Quickbooks), or school/community partnerships is preferred.

Position Details

Status:                        Part-Time, 12-Month Position

Schedule:                   6 hours/day, 30 hours per week

Hours of Work:          9am to 3pm

Starting Compensation: $25.00 per hour

Probationary Period:  90-days.  Position responsibilities, workload, and scheduled hours will be                          reviewed following the initial 90-day period.
