Job description

Position Summary (General Function)

The Director of Membership and Marketing at Boca Grove POA is an excellent communicator with a talent for building strong relationships between members and our staff. This role works closely with the General Manager as well as other Managers and Directors on the Team. Serving as the Club’s Membership Director, while performing specific tasks as requested by the General Manager. This position assists in all Marketing, Communications and Public Relations for the Club and POA. Assisting in planning, implementing, overseeing and coordinating events for members. Working directly with Departments and Communications on all internal and external marketing to ensure that services for Members are developed, produced and marketed with the focus on increasing Member satisfaction and attracting the next generation of Members. Overseeing Development of the Membership program, forecasting marketing and promotional programs. The Director of Membership and Marketing at Boca Grove POA is a unique position in that it is one of the few positions with a dotted line relationship to all departments and department heads in the company. responsible for managing the membership turnovers, maintaining membership records, retention and generating replacements for Activity Permittees, and being the driver of new programs to enhance the member's experience.

This leadership role reports directly to the General Manager and is part of the Leadership Team.

Position Tasks:

Membership Services & Development

  • Serve as the primary point of contact for prospective and new members.
  • Respond to member inquiries, resolve complaints, and ensure a high level of member satisfaction.
  • Coordinate membership tours, application processes, onboarding, and orientation.
  • Maintain accurate and current membership records and reports.
  • Track membership trends and generate analytical reports to support strategic decisions.
  • Manage the Activity Permittee program, including applications, renewals, and retention.
  • Maintain all waiting lists and monitor capacity levels.

Marketing & Communications

  • Develop and implement a comprehensive annual marketing plan in collaboration with department heads.
  • Oversee all Club marketing initiatives, advertising, branding, and public relations.
  • Review and ensure consistency across all marketing and communication platforms, including newsletters, digital content, flyers, website, email campaigns, and social media.
  • Manage relationships with media outlets and negotiate advertising and promotional opportunities.
  • Work with graphic designers, copywriters, and agencies as needed to support brand image.
  • Educate internal teams on brand standards and club communication expectations.

Member Experience, Orientation & Club Engagement

  • Serve as the key facilitator of the member experience, with a focus on creating lasting relationships between members, staff, and the Club community.
  • Oversee the Ambassador Program, ensuring new members are paired with current members who share similar interests, backgrounds, or lifestyles.
  • Lead all new members’ orientation and assimilation efforts, ensuring every new member feels welcomed, informed, and integrated into Club life.
  • Plan and coordinate new member welcome events, small-group socials, and onboarding initiatives in collaboration with department heads.
  • Maintain regular communication with new members during their first year to support engagement and ensure a smooth transition into Club culture.
  • Attend all major Club events and holidays to represent the Membership Department and engage with members; events include (but are not limited to) New Year’s Day Brunch, President’s Day, Easter, Passover, Spring Fling, Memorial Day, Fourth of July, Labor Day, Fall Extravaganza, Thanksgiving, and Hannukah/Christmas festivities, New Year’s Eve and Club Anniversary celebrations. Must be flexible with work schedule as core hours are 10am-6pm Wednesday-Friday during season of November-April.
  • Collaborate with the Food & Beverage, Recreation, Tennis, Golf, and POA departments to ensure events and holiday programming supports member enjoyment and satisfaction.
  • Partner with the Communications coordinator to promote events and initiatives in a way that enhances visibility and participation, while gathering member feedback for future planning.

Internal Coordination & Leadership

  • Attend management and department head meetings.
  • Coordinate interdepartmental marketing and communication efforts.
  • Supervise Membership Department staff,
  • Direct and monitor POA member-facing services as assigned.

Realtor & Community Relations

  • Serve as the liaison to Preferred Realtors and outside real estate professionals.
  • Coordinate and host events such as the Annual Boca Grove Showcase to promote Club exposure.
  • Provide prospective buyers and their agents with accurate, up-to-date membership and Club information.
  • Assist builders and developers participating in the Builder Program.
  • Assist members participating in the Renovators Program.

Physical Demands:

While performing the duties of this position, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.  Occasionally works in outdoor weather conditions. Noise level is moderate.

Required Education and Experience

  • Bachelor’s degree (BS/BA) or Associates preferred.
  • 5 or more years of experience in private club preferred.
  • Proven strong communication and leadership skills.
  • Excellent organizational skills, communication skills and multi-tasking capabilities
  • Demonstrated leadership skills
  • Mastery in delegating multiple tasks
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to communicate effectively with guests, management, vendors/suppliers, the general public and other employees of the Club.
  • Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Working knowledge of various computer software programs (MS Office, Jonas, ADP, POS, Open Table, etc)
  • Clean driving record
