ABOUT BROADWAY HOUSING COMMUNITIES (BHC)


Founded in 1983, Broadway Housing Communities (BHC) is a community-based nonprofit committed to addressing the challenges of poverty and homelessness among adults, children, and families in Upper Manhattan.


BHC has developed five supportive housing buildings that provide permanent, affordable housing and holistic services for individuals and families living in deep poverty. Our work includes an award-winning early childhood center and opportunities for community engagement through the arts. BHC’s flagship project in the National Historic District of Sugar Hill features 124 units of affordable housing, an early childhood education center, and the Sugar Hill Children’s Museum of Art & Storytelling, along with other vital community facilities.


POSITION SUMMARY

The Administrative Assistant plays a key role in supporting both the Tenant Services Department and senior staff located on the 9th floor of BHC’s Sugar Hill site. This highly visible position serves as the first point of contact for visitors and tenants, and is responsible for ensuring smooth day-to-day administrative operations.


This role is essential to maintaining an organized, efficient, and welcoming office environment. The Administrative Assistant will assist with a wide range of tasks that support senior leadership and the delivery of services across all BHC properties.


KEY RESPONSIBILITIES

  • Serve as front desk receptionist: greet and announce visitors, answer calls, and take detailed messages. Open and close the office; maintain common areas such as the kitchen and supply closets.
  • Provide administrative support to Tenant Services staff and senior 9th floor leadership.
  • Assist with special events, research and writing in multiple departments.
  • Manage general office functions, including mail distribution, scanning, copying, filing, and inter-office deliveries.
  • Track and order office supplies for the 9th floor and coordinate with other sites as needed.
  • Manage and update calendars for shared meeting and event spaces on the 9th floor.
  • Support tenant-facing activities including rent bill drop-offs, rent collection coordination, and service documentation.
  • Create and distribute monthly flyers, e-blasts, and program materials.
  • Maintain program and tenant records in Salesforce and update the organizational calendar on the website. Carry out special assignments and provide direct administrative assistance to senior leadership as needed.


QUALIFICATIONS

  • Bachelor’s degree preferred.
  • At least two (2) years of administrative or office support experience.
  • Proficiency in Microsoft Office Suite and Google Workspace (Docs, Sheets, Drive).
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong time management, problem-solving, and organizational skills.
  • Ability to maintain confidentiality and professionalism.
  • Experience working with low-income and culturally diverse populations is preferred.
  • Familiarity with Salesforce or other database systems is a plus.
