Description:

The Director of Operations is a hands-on leader responsible for the day-to-day administrative infrastructure of the organization, including finance and budgeting support, facilities, information technology, risk management, and compliance. This role works in close partnership with the organization's human resources leadership. Reporting directly to the Chief Operating Officer, this role serves as a key member of the leadership team and will design, document, and strengthen operational systems across the collaborative. The role is both internal and external in scope: in addition to building ARCH's own administrative infrastructure, the Director of Operations will work directly with client organizations to design and build operational processes, support their implementation, and transition ownership of those processes back to the client. This is a builder's role: the Director of Operations will initially operate without direct reports and will shape the structure of the operations function as the organization grows.


Key Responsibilities

Operations and Administration

  • Develop, document, and continuously improve organizational policies, procedures, and internal systems.
  • Serve as the primary point of contact for operational issues across programs and locations.
  • Manage vendor relationships, contracts, service agreements, and organizational insurance coverage.
  • Support executive leadership with strategic planning, board reporting, and special projects.

Client Process Development and Implementation

  • Work directly with client organizations to assess operational needs and design processes, policies, and systems tailored to each organization.
  • Lead and support the implementation of new processes within client organizations, working alongside their staff and leadership.
  • Train client staff, document procedures, and transition ownership of completed processes back to the client for ongoing management.
  • Remain available as an operational resource to client organizations after handoff.
  • Finance and Compliance
  • Partner with executive leadership, finance staff, and outside accountants on budgeting, cash flow monitoring, and financial reporting.
  • Support grant compliance, including allowable cost tracking, documentation, and reporting deadlines for government and foundation funding.
  • Coordinate annual audits, tax filings, registrations, and other regulatory requirements.
  • Maintain internal controls and ensure sound fiscal practices across the organization.

Facilities and Safety

  • Oversee maintenance, security, and safety of organizational facilities, including confidential and secure program sites.
  • Manage leases, capital improvement projects, and facility related vendors.
  • Lead emergency preparedness, safety planning, and incident response protocols.
  • Information Technology
  • Oversee IT infrastructure, systems, and support, working with managed service providers as needed.
  • Ensure data privacy and security practices appropriate to organizations handling sensitive client information.
  • Evaluate and implement software and tools that improve efficiency across teams.
  • Partner with the organization's HR leadership on operational matters that intersect with personnel, including onboarding logistics, workplace safety, and policy implementation.
  • Support HR led initiatives with systems, tools, and administrative infrastructure.

Required Qualifications

  • Five or more years of progressively responsible experience in operations, administration, or business management, with at least two years in a leadership role.
  • Working knowledge of at least three of the following areas: nonprofit finance, facilities management, IT administration, risk management, and compliance.
  • Demonstrated ability to build systems and processes from the ground up with minimal support.
  • Strong project management, organizational, and problem solving skills.
  • Excellent written and verbal communication skills and high emotional intelligence.
  • Commitment to the mission of serving survivors of abuse, violence, and exploitation, and the ability to maintain strict confidentiality.

Preferred

  • Experience in a nonprofit, social services, or victim services environment.
  • Familiarity with government grant compliance (federal, state, or county funding).
  • Experience designing and implementing operational processes on behalf of external clients, such as in a consulting, shared services, or multi-entity environment.
  • Bachelor's degree in business administration, nonprofit management, or a related field, or equivalent experience.
  • Project management certification (PMP) or comparable training preferred.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer, with frequent use of a keyboard, mouse, and phone.
  • Ability to move about the office and between program sites, including standing, walking, bending, and reaching during facility inspections and site visits.
  • Ability to lift, carry, push, or pull up to 25 pounds occasionally, such as office supplies, equipment, or event materials.
  • Ability to climb stairs and access all areas of organizational facilities, including storage areas and mechanical spaces, as needed for facility oversight.
  • Visual acuity sufficient to review detailed documents, financial reports, and computer screens.
  • Hearing and speaking ability sufficient to communicate clearly in person, by phone, and in virtual meetings.
  • Ability to operate a motor vehicle and travel between program sites in the region; a valid driver's license and proof of insurance are required.

Work Environment

This position is primarily office based in Redding, California, with regular travel between program sites in the region. Occasional evening or weekend availability may be required for events or urgent operational matters. Employment is contingent on passing a background check consistent with the sensitive nature of the organizations served.


Rate of Pay

Full-time, exempt position (FLSA).
$85,000–$106,000 per year, depending on experience and qualifications.
