PURPOSE OF POSITION: The Catering & Sales Coordinator (CSC) provides support to the Catering & Conference Sales Manager (CCSM) and Director. They are responsible for the support of the sales cycle, including coordination of the catering services and conference events for clients. This position involves working closely with clients to understand their event requirements, handling inquiries, and ensuring smooth event operations.

RESPONSIBILITIES:

Sales Assistance & Client Relations

  • Support CCSM & DCCS with responding to incoming sales leads in an expedited fashion to gain leverage over competition.
  • Provide information and guidance to clients on catering menus, conference room setups, and event options.
  • Support the CCSM with preparing proposals, quotes, and contracts.
  • Build and maintain strong relationships with current and potential clients.
  • Follow SOPs related to Salesforce database entry and reporting.
  • Attend Deer Valley Resort Sales team meetings and BEO meetings.

Event Coordination

  • Coordinate all aspects of catering and conference events, including menu selection, room diagram, AV needs, and other logistical requirements.
  • Serve as the main point of contact for clients before, during, and after events.
  • Liaise with the kitchen, service staff, and other departments to ensure event needs are met.
  • Ensure that all event details, timelines, and specifications are clearly communicated to the team.
  • Report comments and concerns regarding food preparation/presentation as well as lodge/venue upkeep.
  • Responsible for communicating and ensuring all details are correct and the client has received proper introduction to the banquet operational supervisor overseeing the event.
  • Attend events when needed to ensure smooth service delivery.

Administrative Tasks

  • Complete correspondence, such as confirmation letters, signed payment agreements, function sheets, deposits, credit information, post event survey follow-up.
  • Provide post-event feedback to clients and manage any issues that arise during or after the event.
  • Document booking trails, banquet event order build out and review, and diagramming of upcoming events.
  • Prepare final billing for the sales manager to review before sending to the client for payment.
  • Collaborate with Finance on A/R billing for outstanding balances at the conclusion of the event if necessary.

Marketing & Promotion

  • Support marketing efforts by promoting catering and conference services to new and existing clients.
  • Stay up to date on industry trends and client preferences to enhance service offerings.

Continued Learning/ Collaboration

  • Actively participate in Alterra's Conference Services Call.
  • Collaborate with fellow Alterra planners to share best practices at our resorts and build/improve.
  • Learn the physical and operational restrictions of Deer Valley's lodges as they pertain to group functions and staffing levels.

QUALIFICATIONS:

  • Minimum of 2-4 years of experience in event planning and management, preferably in a luxury hotel/resort setting.
  • Bachelor's degree in hospitality management, event planning, or a related field (or equivalent experience).
  • Flexibility to work evenings, weekends, or occasional holidays as needed.
  • Good working knowledge with Salesforce/Delphi. FDC, MS Outlook software, Sertifi E Sign, Cvent, Delphi Diagraming, Maestro and Norm.
  • Strong knowledge of conference and event planning principles, including logistics, audiovisual requirements, and food and beverage services.
  • Excellent organizational and time management skills, with the ability to prioritize and manage multiple projects simultaneously.
  • Outstanding communication and interpersonal skills, with the ability to build relationships and effectively collaborate with clients, guests, and internal teams.

DATES OF EMPLOYMENT:

  • Year Round

PAY RATE:

  • $55,000 - 60,000 annually, dependent on experience
  • Incentive plan eligible
