Job Summary: This role supports the organization, coordination, implementation, and supervision of activities related to physician practice secretaries and Medical Assistants as outlined in the organizational chart. Acts as a key resource in the absence of the Practice Coordinator or as assigned by leadership. Responsible for maintaining smooth front and back office operations and overseeing staff to ensure excellent patient service and efficient practice functioning.

Essential Responsibilities:

Front Office Secretary / Receptionist Duties:

  • Perform typing and copying tasks including creating forms, maintaining menu systems, and preparing reports, minutes, and communications promptly and efficiently.
  • Ensure timely completion of requested correspondence unless otherwise directed.
  • Answer phones, retrieve voicemails, and facilitate communication with physicians and departmental associates.
  • Provide coverage for front office phones when unavailable and maintain accurate message taking.
  • Manage filing and copying of patient and non-patient related documents.
  • Offer feedback to improve front office efficiency and effectiveness.
  • Demonstrate proficiency in hospital EMR systems and adhere to front office protocols.

Clinical Patient Care Duties (MA or LPN):

  • Deliver direct and delegated patient care, maintaining awareness of normal and abnormal patient parameters.
  • Provide care in line with standards and guidelines, including telephone triage and patient reassurance.
  • Ensure smooth healthcare delivery during patient visits, including accurate and updated medical records.
  • Prepare patients for examination, obtain vital signs, and document observations and physician instructions.
  • Assist with testing, treatments, minor surgeries, and physicals under physician supervision.
  • Manage medication samples, patient education, referrals, and consents for procedures and immunizations.
  • Perform laboratory tests and maintain lab logs as prescribed.

Administrative Roles and Responsibilities:

  • Oversee daily operations of practice secretaries, receptionists, and Medical Assistants across designated locations.
  • Represent the department in public relations, committees, and educational activities as delegated.
  • Manage staffing, scheduling, operations, and training needs with support from the practice coordinator.
  • Maintain safe operation of dedicated areas and equipment, coordinating repairs as needed.
  • Plan and implement educational and staff development programs for clinic and hospital staff, patients, and public relations.
  • Prepare and maintain departmental records, reports, policies, and procedures as directed.
  • Assist in performance reviews for supervised staff, with final decisions on salary and disciplinary actions made in coordination with leadership.

Vocational and Educational Preparation:

  • Associate degree or equivalent required. Candidates pursuing a bachelor's degree with at least two years completed coursework may also be considered.
  • Graduation from an accredited Medical Assistant or Nursing (LPN) program required or must be completed within three years of hire.
  • Minimum of 5 years experience as a secretary, receptionist, or Medical Assistant.

Work Shift: Day shift, 40 hours per week.

Location is within a regional healthcare setting in the Midwest United States.
