JOB TITLE: Development Assistant

REPORTS TO: Director of Development


REQUIREMENTS:

  • A Bachelor's or Associate's degree and at least two (2) years of administrative assistant, office support, or nonprofit experience preferred.
  • Excellent written communication, proofreading, and editing skills, including grammar, spelling, formatting, and consistency.
  • Highly organized with strong time-management skills and the ability to manage multiple projects and deadlines simultaneously.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable working with databases, CRMs, and cloud-based applications. Experience with Bloomerang, Qgive, or comparable donor and event platforms is a plus.
  • Strong administrative support skills, including scheduling, data entry, recordkeeping, document preparation, and meeting coordination.
  • Experience coordinating with vendors, including gathering quotes and tracking contracts and payments, preferred.
  • Quick learner with a positive attitude and a desire to grow professionally.
  • Must possess a valid Georgia Driver's License, maintain a clean driving record, and comply with the Bloom Driver Policy, including proof of current personal auto insurance when driving for Bloom business.
  • Must pass all required background checks upon hire and periodically thereafter, including criminal, child abuse and neglect registry, and motor vehicle record checks.
  • Must be able to lift, carry, push, or pull up to 25 pounds; sit, stand, walk, bend, and stoop; use a computer for extended periods; and travel to partner sites, events, and warehouse or donation center environments. JOB DESCRIPTION:

The Development Assistant provides administrative and operational support to the Development team to help advance Bloom's fundraising and donor engagement efforts. This role is responsible for maintaining accurate donor records, supporting fundraising campaigns and events, coordinating Bloom Ball vendor and sponsor logistics, assisting with donor communications, and ensuring high-quality stewardship of donors and partners. This position is ideal for a highly organized, detail-oriented individual who is interested in nonprofit development and philanthropy.

PRIMARY RESPONSIBILITIES:

Donor Data & CRM Management

  • Maintains accurate donor records in the organization's donor database, Bloomerang.
  • Processes and acknowledges donations within 48 hours of receipt.
  • Tracks outreach activities, donor interactions, and contribution outcomes in Bloom's donor management system.
  • Conducts ongoing CRM cleanup to ensure data accuracy and consistency.
  • Generates donor reports, mailing lists, and analytics as needed.
  • Enters historical data into the database.
  • Ensures data integrity, confidentiality, and compliance with privacy standards.


Bloom Ball & Fundraising Event Support

  • Manages Bloom Ball vendor relationships - catering, AV, rentals, decor, printing, and photography - including obtaining quotes, coordinating contracts, and processing payment.
  • Fulfills Bloom Ball sponsor benefits, including logo placement, table assignments, and recognition.
  • Manages the Bloom Ball guest list and ticket sales.
  • Photographs silent auction items, uploads them to Qgive, and maintains the Qgive platform for accuracy. Serves as the administrator of record for Qgive, coordinating with the Volunteer & Community Outreach Coordinator, who manages on-site auction operations and checkout.
  • Writes silent auction thank-you notes.
  • Assists with planning and execution of all fundraising events, both internal and external.
  • Supports logistics such as event registration, attendance tracking, and follow-up communication.
  • Coordinates with vendors, volunteers, and internal staff as needed.
  • Helps prepare event materials, donor recognition items, and donor appreciation items.
  • Assists with assembling auction baskets, preparing event surveys, and other event-related activities.
  • Assists with other Bloom fundraising and donor-cultivation events as directed by the Director of Development.
  • Represents Bloom as needed at community outreach events, volunteer activities, and donor engagement opportunities, serving as a knowledgeable and enthusiastic ambassador for the organization's mission and programs.


Angel Tree

  • Supports Angel Tree as a shared program responsibility alongside the Community Outreach Coordinator and the Volunteer & Community Outreach Coordinator.
  • Assists with sponsor recruitment and stewardship, including donor outreach, acknowledgments, and maintaining sponsor information in the donor database.
  • Supports Angel Tree promotion and communication materials in coordination with the Development and Marketing functions.
  • Serves as a backup point of contact for Angel Tree inquiries and provides coverage during the Community Outreach Coordinator's absence.
  • Participates in Angel Tree committee meetings and takes an assigned share of seasonal tasks during the tag distribution and December return periods.


Collection Drive Inquiries

  • Serves as the first point of contact for collection drive inquiries and manages the designated drive email inbox.
  • Routes drive inquiries to the Volunteer & Community Outreach Coordinator (faith-based organizations, public schools, and businesses) or to the Community Outreach Coordinator (private schools, civic organizations, and retail partners).


Administrative Support

  • Provides day-to-day administrative support to the Development team.
  • Proofreads donor communications, reports, presentations, and other materials to ensure accuracy, professionalism, and consistency with Bloom's brand standards.
  • Manages calendars, meeting materials, internal documentation, and meeting notes.
  • Drafts professional emails and correspondence, donor materials, and community engagement materials.
  • Maintains organized digital and physical filing systems.



Donor Relations & Stewardship

  • Supports donor engagement activities and stewardship initiatives.
  • Helps track donor interactions and follow-up actions.
  • Provides excellent customer service to donors, volunteers, community partners, and other stakeholders.
  • Maintains records of monthly supporters and ensures Monthly Donor Welcome Packets and other follow-up communications are completed according to established timelines.


Front Desk Management

  • Answers and directs phone calls, taking and distributing messages as necessary.
  • Greets and assists visitors and staff at the Development condo in a friendly and professional manner.
  • Assists in greeting and welcoming corporate volunteers to the Bloom Closet.
  • Performs other duties as assigned.


GENERAL EXPECTATIONS:

This is a part-time, non-exempt hourly position working 24-30 hours per week that may require occasional evening and weekend hours to support fundraising events, volunteer activities, and other organizational needs.
