Job description

Position: ย  Elementary Attendance and Accounts Payable Secretary
Qualifications:

1. Education Level:ย  High School Diploma or equivalent (GED), Associates Degree preferred
2.ย Certification:ย  None
3. Experience Desired:ย  Minimum of 3 years experience in a clerical or business/finance role
General Summary: Building secretaries act as gatekeepers for the building.ย  They screen, manage and troubleshoot the foot traffic in their building to ensure the safety of their students and staff.ย  ย They provide assistance to the building administrator as well as building employees.ย  Deadlines dictate priorities which contribute to a fast paced environment at times.ย  In this position distractions are inevitable.ย  It is important to be flexible, detail oriented and maintain strong organizational skills. ย  It is equally important to be goal driven and maintain a high level of professionalism while adhering to Board policy.ย 



Performance Responsibilities:

  1. Must be able to type at an acceptable rate with good grammatical structure
  2. Promotes a welcoming environment by modeling a positive demeanor to students, staff and patrons of the community
  3. Proficient in the use of phone, internet, email, Microsoft Office and Google applications
  4. Maintain confidentiality
  5. Ability to multi-task and produce documents accurately and efficiently
  6. Quick to learn new software programs
  7. Demonstrates trustworthiness, honesty and loyalty
  8. A strong work ethic with superior work attendance history
  9. Register/Enroll PK-4th grade students in seated or virtual instruction using our digital enrollment process
  10. Assist with screenings for PK and Kindergarten students
  11. Maintain all student records, to include withdrawals, transfers, attendance, discipline, grade reporting student placement and all matters reportable through Core Data
  12. Provide assistance in the creation and preparation of the master schedule
  13. Manage and monitor visitors in building through the Raptor system
  14. Serve as message center for all staff, parents, patrons and vendors and direct information appropriately
  15. Must be able to collect, count, distribute money and prepare building bank deposits as needed
  16. Assist building principal with organizing and coordinating building events, special projects, fundraisers and district initiatives
  17. Manage and trouble-shooter all building copier issues
  18. Manage and monitor the building security camera system
  19. Maintain building keys and check out procedures
  20. Assist with preparing and directing phone tree procedures
  21. Provide areas of support for nurses, food service, ISS, bus duty and lunch duty
  22. Assist with data collection of student assessment data (NWEA) for digital imports
  23. Support other school buildings with clerical help as needed
  24. Assist with Social Media, yearbook and publications
  25. Cross train with other clerical staff in the building
  26. Assist staff and building administrator with ordering materials and supplies
  27. Prepare and reconcile vendor invoices and credit card statements for payment
  28. Manage and reconcile building budgets and student activity accounts
  29. Assist in compiling annual building inventory
  30. Track and assist staff with end of year check out procedures
  31. Manage employee time clock and employee absences through district software programs as well as communicate with Human Resources and Payroll as needed
  32. Oversee substitute management program for the building
  33. Maintain petty cash in accordance with Board policy
  34. Process first class and inter-school mail and distribute to staff accordingly
  35. Assist building administrator with disseminating information via physical or electronic mail
  36. Prepare and make verbal announcements as needed
  37. Assist with other duties as assigned
