Summit Search Group has partnered with O&T Farms on the recruitment of their next Marketing & Administrative Assistant. O&T Farms is a proud Canadian, organization specializing in sustainable, plant-based feed ingredients that support animal health and the production of healthier food.


With a growing global footprint and a strong presence across North America, O&T Farms continues to expand its reach within the livestock and pet food industries. Based in Winnipeg, this role will support the Vice President of Sales & Marketing and play a key part in coordinating marketing initiatives and day-to-day operations.

The Opportunity

The Marketing & Administrative Assistant will provide a blend of administrative support and marketing coordination, working closely with internal teams, external vendors, and leadership. This is a hands-on role that offers variety and exposure across multiple functions, including events, digital marketing, and operational support.

The successful candidate will bring strong organizational skills, attention to detail, and the ability to manage multiple priorities while supporting a growing and dynamic business.

Key Responsibilities

Administrative Support

  • Provide day-to-day administrative support to the Vice President of Sales & Marketing
  • Coordinate travel arrangements and manage expense reporting
  • Manage courier shipments for product samples and marketing materials
  • Maintain and update CRM databases, including customer and prospect lists
  • Support internal documentation and file management across departments
  • Collaborate with the broader administrative team

Trade Show & Event Coordination

  • Coordinate trade show participation, including booking events, travel, and accommodations
  • Manage logistics for team attendance and promotional materials
  • Oversee shipping and setup of trade show displays
  • Support promotional activities including website updates, email campaigns, and advertising

Marketing Coordination

  • Liaise with external partners including marketing agencies, SEO providers, and creative vendors
  • Coordinate development of marketing materials including digital, print, and event assets
  • Support social media platforms and email marketing campaigns
  • Manage website updates using WordPress across multiple regional sites
  • Assist with content creation including newsletters, product pages, and technical updates
  • Support SEO and digital advertising initiatives
  • Manage inbound inquiries and website chat functions

Qualifications

  • 3–5+ years of experience in a marketing coordination, administrative, or executive support role
  • Strong organizational skills with the ability to manage multiple priorities independently
  • Proficiency with Microsoft Office Suite
  • Experience with WordPress or similar content management systems
  • Familiarity with social media platforms and digital marketing tools
  • Experience with Canva, Adobe Creative Suite, or email marketing platforms (e.g., Mailchimp, Constant Contact) is considered an asset
