Job description

Job Title: Field Administrative Assistant (Construction Operations)
Role Overview
We are seeking an organized, resourceful, and proactive Field Administrative Assistant to join our project team. In this role, you will play a pivotal part in supporting the Site Superintendent and field operations by managing day-to-day administrative functions, including union workforce onboarding, payroll processing, daily attendance tracking, and field dispatch coordination.
This is a dynamic, high-visibility role located directly on-site in a fast-paced construction environment. You will serve as the primary administrative point of contact for field personnel, ensuring compliance, seamless onboarding, and accurate record-keeping. If you excel at multitasking, possess a strong attention to detail, and thrive in a collaborative construction setting, we want to hear from you.
Key Responsibilities
Union Onboarding & Compliance
• New Hire Processing: Coordinate end-to-end field onboarding, ensuring strict adherence to I-9 verification and compliance requirements.
• Site Orientation: Facilitate site orientations, safety badge issuance, and digital onboarding workflows for all incoming craft personnel and subcontractors.
• Record Management: Maintain accurate, up-to-date physical and digital records of all onboarding documentation.
Payroll Management & Time Tracking
• Timecard Processing: Review, enter, and submit weekly timecards for field staff, meticulously proofreading entries to prevent payroll discrepancies.
• Reporting & Logistics: Generate payroll reports, manage per diem/incentive tracking, process corrections, and handle paycheck distribution.
Resource Tracking & Field Operations
• Attendance Tracking: Conduct daily rollcalls and manage workforce resource tracking utilizing digital site management platforms.
• Personnel Administration: Coordinate dispatching requests, process terminations, and manage personnel status updates (PARs).
• General Administration: Consolidate and distribute daily field reports, manage site IT requests, order office/field supplies, maintain safety training logs, and handle general office organization.
Qualifications & Requirements
Minimum Qualifications
• Education: High School Diploma or GED required (Associate's or Bachelor's degree preferred).
• Experience Baseline: Minimum of 3 years of administrative support experience, preferably within a fast-paced construction site or industrial field office environment.
• Technical Proficiency:
oStrong proficiency in Microsoft Office Suite (Advanced Excel, Word, Outlook).
oFamiliarity with electronic payroll systems, timecard submission, and digital workforce management tools.
oWorking knowledge of I-9 compliance and onboarding protocols.
• Core Competencies: Exceptional organizational skills and acute attention to detail; resourceful problem-solver capable of meeting strict weekly deadlines; strong interpersonal and communication skills tailored for multi-trade jobsite environments.
