Office Manager & Economic Development Coordinator

Location: Guntersville, Alabama (MCEDC Office)

Employment type: Full-time

Hours: Monday–Friday, 8:00 a.m.–5:00 p.m.

Reports to: Executive Director

Travel: Occasional, within Marshall County and the surrounding region

About the Role

The Office Manager & Economic Development Coordinator supports the Executive Director and the mission of the Marshall County Economic Development Council (MCEDC). This role keeps the office running day to day and serves as a key point of contact for members, businesses, schools, community partners, public officials, economic development partners, prospects, and the public. The position supports business retention and expansion, new investment, member and partner relationships, workforce initiatives, marketing of Marshall County, and the professional operation of MCEDC.

Essential Duties

Executive and Administrative Support

  • Provide administrative support to the Executive Director, including calendars, appointments, correspondence, reports, presentations, spreadsheets, and meeting materials
  • Help prepare Board of Directors meetings, including agendas, materials, attendance records, and minutes
  • Maintain organized electronic and physical files and protect confidential business and project information
  • Assist with follow-up communication to businesses, members, prospects, partners, and public officials

Office Management

  • Manage daily office operations and serve as the primary contact for calls, visitors, inquiries, deliveries, and correspondence
  • Keep the office professional, organized, and welcoming
  • Coordinate supplies, equipment, vendors, maintenance, and routine office services
  • Maintain calendars, contact databases, mailing lists, membership records, and other administrative files
  • Assist with accounts payable/receivable, invoices, deposits, expense documentation, and coordination with accounting providers as assigned
  • Coordinate on-site meetings, including scheduling, room setup, materials, refreshments, and follow-up

Membership Support

  • Help maintain relationships with current members and develop relationships with prospective members
  • Keep membership records, contact information, membership levels, and communication lists current
  • Coordinate member communications about meetings, events, updates, and engagement opportunities
  • Support onboarding, recognition, recruitment, renewals, and member events
  • Respond promptly to member questions or route them to the Executive Director

Marketing, Communications, and Social Media

  • Help implement MCEDC marketing and communications
  • Manage social media content, scheduling, and posting
  • Promote members, existing industry, project announcements, events, workforce initiatives, available properties, and community accomplishments
  • Assist with website updates, newsletters, emails, event notices, brochures, presentations, and other materials
  • Support press releases and media communications as directed
  • Maintain photos, logos, graphics, and other digital assets and help keep branding consistent

Event Planning

  • Plan and coordinate meetings, membership events, industry events, receptions, and community activities
  • Handle venues, invitations, RSVPs, catering, speakers, agendas, signage, sponsorships, and logistics
  • Maintain event calendars, guest lists, and follow-up communications
  • Provide on-site support, including occasional events outside normal business hours

Workforce Development

  • Support coordination among local industry, school systems, career/technical education programs, community colleges, and workforce partners
  • Help identify employer training needs and connect companies with education and workforce resources
  • Support career days, job fairs, industry tours, student engagement, and career-pathway awareness
  • Assist with workforce meetings, communications, events, data collection, and special projects

Economic Development Projects and RFIs

  • Assist with Requests for Information (RFIs) and other industrial recruitment materials
  • Collect and update site/building, utility, infrastructure, workforce, demographic, transportation, and community data
  • Help prepare proposals, site submissions, presentations, maps, photos, and supporting documents
  • Coordinate information requests with property owners, utilities, municipalities, county government, schools, and partners
  • Support prospect visits, site tours, itineraries, and follow-up
  • Support business retention and expansion visits, records, and requested information
  • Maintain confidential project files and protect sensitive company information

Community and Organizational Support

  • Maintain professional relationships with members, industry, municipalities, county officials, utilities, chambers, schools, workforce groups, and state/regional partners
  • Attend meetings, conferences, training, and community events when appropriate
  • Represent MCEDC professionally
  • Complete other duties and special projects assigned by the Executive Director

Qualifications

A bachelor’s degree in business administration, communications, marketing, public relations, economic development, education, workforce development, or a related field is preferred but not required. Relevant experience may substitute for formal education. Strong consideration will be given to experience in office management, executive/administrative support, business operations, marketing and communications, membership or customer relations, event coordination, workforce or education partnerships, or economic development. Preferred: experience working with business executives, industry representatives, educators, community leaders, public officials, and the public. MCEDC will consider the overall mix of education, experience, skills, and ability to perform the role.

Schedule and Other Requirements

This is a full-time, in-office role, Monday–Friday, 8:00 a.m.–5:00 p.m. Occasional early-morning or evening work may be required for meetings, events, prospect visits, school activities, or community functions. Must have a valid driver’s license and reliable transportation. Occasional local and regional travel is required.
