NOVA Engineering and Environmental is seeking a Marketing Coordinator to support our offices across the Southeast. The Marketing Coordinator will support proposal development, branding, and social media initiatives in a fast-pace environment, requiring strong attention to detail, excellent communication skills, and proficiency in Adobe Creative Suite and AI.

Reporting to the Marketing Supervisor, this position works closely with marketing, business development, and technical teams to support NOVA's growth and brand presence throughout the region.

Essential Functions:

The successful candidate will work closely with the various Business Development Associates, Operational Managers and senior staff throughout the company. Primary job responsibilities will include the following:

Marketing & Proposal Support:

  • Coordinate and manage the end-to-end proposal development process, from go/no-go through final submission.

  • Assist with the coordination, development, editing, quality control, research, and production of SOQs, proposals, presentations, SF330s, and other marketing deliverables using Adobe Creative Suite, Microsoft 365, and AI-assisted content development tools.

  • Leverage AI-powered technologies to support proposal development, content organization, research, editing, quality control, and workflow efficiency while ensuring accuracy, brand consistency, and compliance.

  • Support proposal strategy sessions and assist with presentation development, layout design, and production.

  • Maintain proposal content libraries, resumes, project sheets, and boilerplate materials.

  • Support proposal closeout activities, debriefs, and continuous process improvement initiatives.

  • Maintain and update Deltek CRM to support business development and marketing initiatives. Assist with market research and competitive intelligence efforts to identify trends, clients, and opportunities across the Southeast.

  • Support regional marketing and business development meetings as needed.

Brand Support:

  • Produce and update marketing graphics for proposals, presentations, and collateral in accordance with NOVA brand standards

  • Assist with maintaining and growing NOVA’s internal graphics and template library

  • Support the development of regional marketing collateral including brochures, flyers, conference displays, and digital assets

  • Ensure consistency with corporate branding across all marketing materials

  • Utilize emerging design technologies and AI-assisted creative tools to enhance visual storytelling and marketing effectiveness.

Social Media & Digital Marketing:

  • Support NOVA's social media and digital marketing initiatives to enhance brand awareness, recruiting efforts, and community engagement.

  • Create, design, and schedule social media content, including graphics, videos, reels, and short-form copy using Adobe Creative Suite and AI-enhanced content creation tools.

  • Assist with content planning, campaign development, and digital storytelling efforts that showcase NOVA's people, projects, and culture.

  • Monitor engagement metrics and support reporting on social media and digital marketing performance.

Systems & Administration

  • Support the Client, Project, and Employee Database (Deltek Vision/Vantagepoint).

  • Assist with tracking business opportunities, pursuits, and leads within the CRM.

  • Help coordinate annual contract renewals, prequalification certifications, and marketing-related compliance requirements.

  • Stay informed on emerging marketing technologies, including AI-powered platforms, and recommend opportunities to improve efficiency, content quality, and team collaboration.

Minimum Qualifications, Experience and Education:

  • Minimum of 2 years of marketing, communications, graphic design, or proposal coordination experience; A/E/C industry experience preferred.
  • Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Teams, and Power BI) and Adobe Creative Suite, including InDesign, Photoshop, Illustrator, Acrobat, and related design applications.
  • Experience utilizing AI-powered tools and technologies to enhance content development, graphic design, research, workflow efficiency, and marketing communications.
  • Strong graphic design, page layout, visual storytelling, and brand management skills with the ability to create high-quality marketing materials in a deadline-driven environment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Exceptional attention to detail with strong editing, proofreading, and quality control capabilities.
  • Ability to manage multiple priorities, competing deadlines, and fast-paced proposal schedules while maintaining accuracy and professionalism.
  • Experience with CRM and database management systems; familiarity with Deltek Vision or Vantagepoint is a plus.
