Office Manager

SEETECH, LLC Price, Utah

Position Summary

SEETECH, LLC is seeking a motivated, organized, and detail-oriented Office Manager to oversee daily office operations at our Price, Utah location. This position plays a critical role in supporting inventory management, shipping and receiving, customer order processing, invoicing, and general administrative functions.

The ideal candidate will have experience with QuickBooks Desktop, strong computer skills, and knowledge of inventory control processes. Experience with Acctivate Inventory Software, (or equivalent) is highly preferred. The successful candidate will be capable of managing multiple priorities while providing excellent customer service and ensuring efficient office operations.

Essential Duties and Responsibilities

Office Administration

  • Manage daily office operations and administrative procedures.
  • Answer and direct phone calls professionally.
  • Monitor and respond to company emails.
  • File and maintain electronic or hard-copy records.
  • Operate and maintain office equipment including copiers, printers, scanners, and fax machines.
  • Prepare reports, spreadsheets, correspondence, and other business documents.
  • Maintain office supplies and coordinate office purchasing needs.
  • Provide administrative support to management and staff.

Accounting & Software Responsibilities

  • Utilize QuickBooks Desktop for accounting-related functions.
  • Assist with account tracking and documentation.
  • Maintain accurate customer and vendor information.

Inventory & Order Management

  • Receive, verify, and check in incoming inventory shipments.
  • Maintain accurate inventory records and assist with inventory control activities.
  • Create and process sales orders.
  • Generate customer invoices and related documentation.
  • Coordinate order fulfillment and shipment processing.
  • Work closely with customers, vendors, and management regarding inventory availability and order status.
  • Assist with periodic inventory counts and inventory reconciliation.
  • Monitor inventory levels and communicate purchasing needs.

Shipping & Receiving

  • Process incoming and outgoing shipments.
  • Prepare shipping documents, bills of lading, packing slips, and related paperwork.
  • Coordinate shipments with freight carriers and package delivery services.
  • Verify received materials against purchase orders and packing slips.
  • Investigate and resolve shipping or receiving discrepancies.

Required Qualifications

  • High School Diploma or GED.
  • Minimum of 2 years of office administration experience.
  • Experience using QuickBooks Desktop and inventory software.
  • Knowledge of shipping, receiving, inventory management, and order processing.
  • Experience creating sales orders and customer invoices.
  • Strong computer proficiency, including:
    • Microsoft Outlook
    • Microsoft Word
    • Microsoft Excel
    • Email communications
    • General office software
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong attention to detail and accuracy.

Preferred Qualifications

  • Experience with Acctivate Inventory Management Software.
  • Background in industrial, manufacturing, warehouse, distribution, or equipment-related industries.
  • Experience with inventory control and cycle counting.
  • Familiarity with freight and logistics operations.

Physical Requirements

  • Ability to sit, stand, and move throughout the office and warehouse environment.
  • Ability to occasionally lift up to 25-50 pounds.
