Job description

Talon Hiring Solutions has a client in the Birmingham, AL area that is looking for an Office Administrator to play important role in the day-to-day operations of the business. This position will coordinate schedules for multiple designers and installers, assist customers, order products, manage administrative tasks, and ensure clear communication between customers and internal teams.

What you will do:

  • Manage daily office operations and administrative activities
  • Schedule and coordinate appointments for multiple designers and installers
  • Communicate with customers regarding appointments, orders, products, and service needs
  • Respond to customer inquiries in a professional, knowledgeable, and timely manner
  • Order products and track orders to ensure timely delivery and installation
  • Coordinate communication between customers, designers, installers, and internal team members
  • Maintain accurate records, files, schedules, and customer information
  • Monitor order status and follow up on outstanding items
  • Identify and resolve customer or scheduling issues efficiently
  • Support designers and installers with administrative and scheduling needs
  • Maintain an organized and professional office environment
  • Utilize standard office software for communication, documentation, spreadsheets, and scheduling
  • Assist with other administrative and customer service responsibilities as needed

What you will bring:

  • 3+ years of administrative experience required
  • High school diploma or equivalent required
  • Strong computer skills and proficiency with standard office software
  • Excellent verbal and written communication skills
  • Strong customer service and interpersonal skills
  • Highly organized and detail-oriented
  • Ability to manage multiple schedules, priorities, and deadlines
  • Strong problem-solving and follow-through skills
  • Professional and friendly demeanor when interacting with customers
  • Ability to work independently while also collaborating effectively with a team
  • Previous experience in an office administration, scheduling, customer service, or coordination role preferred
