Job description

WONGDOODY, a business unit of Infosys Nova Holdings, LLC is hiring an Office Manager. The NYC Office Manager will be responsible for caring for the needs of our studio space at One World Trade creating a welcoming environment for guests and an engaging experience for our employees.

This is a multifaceted role with a wide range of responsibilities from serving as the primary point of contact for building management to running point on office events and will sometimes also be the โ€˜hands on the groundโ€™ when partnering with other operations groups. This is an onsite role with the expectation that you are in the studio 5 days a week.

The Office Manager will also support senior executives, projects and other initiatives from our parent company on an as needed basis.

Our ideal candidate will be a highly organized and motivated individual who enjoys working with all levels of the organization as well as external partners.

WHAT YOU'LL DO:

Support the following areas of our New York Studio:

Operations
  • Conference Room booking administration
  • Act as primary safety contact for One WTC and Infosys
  • Ordering and Maintaining Office/Kitchen supplies, snacks, coffee and other beverages
  • Setting up conference rooms with supplies
  • Serve as the primary point of contact for vendors and deliveries
  • Ordering Breakfast/Lunch as needed ensuring coordination of delivery and setup
  • Planning and scheduling events outside the office including venue selection and reservations
  • Maintaining existing setups, troubleshooting issues, minor replacements
  • Serve as the local culture champion by leading the culture team, managing the budget, organizing and executing events
Facilities
  • Manage local building management relationships and ensuring facilities are clean, in good working order, and up to code
  • Guest Registration & Badge Creation for building access
  • Badge Maintenance for bathroom badges, malfunctioning badges, missing badgesโ€ฆworking with the building for replacements or remedies
WHAT YOU'VE GOT
  • 3+ years of proven experience in staff support and office administration
  • Ability to handle multiple projects and adjust in real-time to competing demands and deadlines to support numerous people
  • Success managing vendors and partner relationships
  • Outstanding organizational skills and proactive follow-up tendencies
  • Excellent time management skills and ability to multi-task and prioritize work
  • Excellent written and verbal communication skills
  • A knack for problem-solving and eye for innovation to improve current processes
  • Ability to quickly learn software platforms and ticketing systems (Freshservice, AWARE etc.)
  • Detail-orientated nature with a services industry background preferred
