What is a Dentrix?

A Dentrix job typically involves working with Dentrix, a popular dental practice management software used by dental offices for scheduling, billing, and patient records. Positions that require Dentrix expertise include roles such as dental office manager, front desk receptionist, treatment coordinator, and billing specialist. Employers often seek candidates with experience using Dentrix to streamline operations and improve efficiency in a dental practice.

What daily administrative responsibilities might I have if my dental office uses Dentrix software?

If your dental office uses Dentrix software, your daily responsibilities may include scheduling patient appointments, updating electronic patient records, processing insurance claims, and managing billing and payments. You might also generate reports, coordinate communication among dental staff, and ensure HIPAA compliance with patient data. Dentrix streamlines these tasks, so familiarity with its features will help you work efficiently and provide better service to patients. Collaborating with dentists, hygienists, and other administrative team members is often required to resolve scheduling or billing issues and maintain a friendly, organized office environment.

What are the key skills and qualifications needed to thrive in the Dentrix position, and why are they important?

The term 'Dentrix' typically refers to dental practice management software, rather than a formal job title. However, professionals using Dentrix, such as dental office administrators or dental assistants, should have strong administrative skills, knowledge of dental terminology, and experience with patient scheduling and billing. Proficiency with Dentrix software, as well as familiarity with digital imaging systems and electronic health records, is highly valuable. Excellent communication, attention to detail, and multitasking abilities enable team members to efficiently handle patient interactions and office tasks; these skills ensure the office runs smoothly and enhances the overall patient experience.

Job description

Job Title: Dental Scheduling Coordinator

Location: Franklin, OH (On-site)

Job Type: Full-time

Pay: $19.00–$24.00/hour, based on experience

Position Overview

Franklin Dental Care & Dentures is hiring a Dental Scheduling Coordinator to own our daily schedule. Our front desk has struggled to keep the schedule accurate and full, so this hire is not a training role — it is for someone who already knows how to run a dental schedule and can prove it on day one.

Non-Negotiable Requirements

These two requirements are not preferred qualifications — they are the bar for this role. Candidates without both will not be considered.

Dentrix Experience (Required): You must have real, hands-on experience scheduling in Dentrix — building a provider’s day, managing recall and ASAP lists, and handling cancellations and reschedules inside the system. We will ask you to walk us through it.

Medicaid Dental Practice Experience (Required): You must have direct experience scheduling for a Medicaid caseload — eligibility verification, managing no-shows and cancellations, and keeping a Medicaid schedule full. This is not the same as general dental scheduling, and we need someone who has actually done it.

What You Will Do (Key Responsibilities)

Own the Schedule: Build, manage, and optimize the daily and weekly patient schedule in Dentrix to keep the clinic running efficiently and minimize gaps or overbooking.

Appointment Management: Schedule, confirm, and reschedule appointments by phone, email, and text, keeping the calendar accurate in real time.

Recall & Follow-Up: Track patients due for recall or follow-up visits and proactively reach out using ASAP lists and waitlists to keep the schedule full.

Provider Coordination: Communicate closely with providers and clinical staff to keep the day realistic and on track.

Medicaid Scheduling: Verify Medicaid eligibility, manage a Medicaid caseload's unique scheduling needs, and reduce no-shows and last-minute cancellations.

Problem-Solving Under Pressure: Catch and resolve scheduling conflicts, double-bookings, and errors before they affect patient care.

What We're Looking For

Proven Dentrix scheduling experience (non-negotiable)

Proven experience scheduling for a Medicaid dental or medical practice (non-negotiable)

Someone who thrives in a fast-paced clinical environment, stays on task, and moves quickly and accurately under pressure

Strong communication skills for handling patients, providers, and front desk staff

Availability that includes required Saturday coverage

Compensation

Starting pay is $19.00–$24.00 per hour, based on experience.
