Job description

Star Dental Partners is currently seeking a Dental Service & Equipment Specialist to join our high-growth and fast-paced dental services organization (DSO).

This position will own the end-to-end management of dental equipment procurement, x-ray registrations, asset inventory, and service issue resolution across Star Dental Partners affiliated partners. This is a high-volume, fast-paced role that sits at the intersection of procurement, operations, and vendor management. The ideal candidate has a strong knowledge of dental equipment and brings experience in dental equipment, procurement, or service and repair in a dental or DSO environment. This is an immediate need and will have a direct impact on day-to-day operations across the network.

Key ResponsibilitiesEquipment Procurement & Build-Out
  • Manage dental equipment orders from request through delivery and installation across all SDP offices.
  • Support new office build-outs by coordinating equipment procurement timelines with internal teams and vendors.
  • Process new dental equipment registrations for newly installed equipment.
  • Maintain accurate records of equipment purchases, warranties, and delivery status.
Asset & Inventory Management
  • Maintain a centralized asset inventory including dental equipment and sensor inventory.
  • Conduct regular audits of asset records and reconcile discrepancies.
  • Identify opportunities to optimize equipment utilization and reduce unnecessary spend.
X-Ray Registrations & Regulatory Compliance
  • Manage x-ray registration requirements across all SDP offices, including new registrations, renewals, and updates.
  • Track registration deadlines by state and ensure timely compliance across the network.
  • Serve as the internal point of contact for X-ray registration, state inspector communications, regulatory compliance inquiries, and vendor coordination.
  • Maintain a centralized compliance tracker and proactively flag upcoming deadlines.
Vendor Management
  • Own the Facilities email inbox, triaging and responding to service and equipment requests from offices.
  • Lead weekly vendor meetings, reviewing open issues, service performance, and escalations.
  • Review weekly vendor reporting and identify trends, gaps, or areas requiring follow-up.
  • Verify invoices for accuracy, ensuring charges align with contracted pricing and approved orders.
  • Manage Pro Repair orders and coordinate service provider assignments as needed.
Service Issue Management & Escalations
  • Serve as the primary point of contact for equipment service requests across the SDP network.
  • Open, track, and manage service tickets with equipment vendors and service providers.
  • Escalate urgent service issues and hold vendors accountable for response times and resolution quality.
  • Identify recurring service issues and recommend corrective actions or equipment replacements.
Process Documentation & Training
  • Create and maintain training documents and standard operating procedures for equipment and service processes.
  • Support onboarding of new offices by providing guidance on equipment ordering and service protocols.
  • Continuously improve process documentation as workflows evolve.
Cross-Functional Support
  • Cross-train in other procurement functions, including clinical supplies and labs, to provide coverage and support as needed.
  • Collaborate with operations and regional teams to resolve equipment and service issues efficiently.

Required:
  • 3 to 5 years of experience in dental equipment, procurement, dental equipment service and repair, or a closely related field.
  • Strong knowledge of dental equipment, including common categories, vendors, service requirements, and repair processes.
  • Exceptionally organized with strong attention to detail and the ability to manage high volumes of concurrent tasks.
  • Proficient in Microsoft Excel and comfortable working within procurement or ticketing systems.
  • Strong communication skills with the ability to manage relationships with office teams, vendors, and internal stakeholders.
  • Ability to prioritize effectively and maintain urgency in a fast-paced, high-growth environment.
Preferred:
  • Experience in a DSO or multi-site dental environment strongly preferred.
  • Familiarity with Henry Schein systems, reporting, and vendor management processes.
  • Experience managing X-ray or other regulated equipment registrations across multiple states.
  • Experience with asset management or inventory tracking systems.
  • Clinical supplies knowledge is a plus.
  • Labs experience is a plus.
