At Highgrove Dental Care, we are looking for a Dental Practice Operations Manager. As a growth-orientated Dental Operations Manager, you will be at the forefront of our mission to elevate patient care, streamline operations, and drive the success of the dental practice. The Operations Manager role presents an exciting opportunity for a dynamic and ambitious individual to not only manage daily operations but also to contribute to the strategic growth and development of the practice.

Your role:
Strategic leadership:
  • Serve as a key liaison between the practice and the support center, ensuring clear, timely communication across all stakeholder groups to align priorities, resolve issues, and drive practice success.
  • Collaborate with the owner doctor and regional support to develop and implement growth strategies for the practice.
  • Identify and act on opportunities to expand services, increase patient access, enhance retention and drive production and collections.
  • Leverage data insights to inform decision-making and support long-term practice success.

Team Leadership & Development:
  • Hire, train, coach, and develop all employees in the practice with a focus on accountability, ownership, and performance.
  • Facilitate meetings and inspire and empower the team to embrace a growth mindset, fostering a culture of continuous improvement.
  • Encourage professional development opportunities for team members, aligning with both individual and practice goals.
  • Stay well-versed in Imagen University courses to guide team development and actively co-manage enrollments and completions that support practice objectives.

Patient Experience: Engagement & Marketing
  • Drive initiatives that enhance the patient journey from first contact to treatment completion, payment collection and follow up care.
  • Monitor patient feedback and leverage tools (NexHealth, Liine, Birdeye, Overjet, etc.) to improve satisfaction, clinical quality, patient retention through a 5-star experience, and online reputation.
  • Follow up with unscheduled treatment cases to drive reactivation and treatment completion.
  • Own in-practice responsibilities critical to campaign success, such as online booking readiness and lead conversion.
  • Monitor marketing performance data and collaborate with the regional and marketing teams to address conversation gaps or access-to-care challenges.
  • Lead local marketing initiatives to drive patient growth, engagement, and brand awareness, ensuring alignment with practice operations and readiness.

Operational & Revenue Cycle Management (RCM)
  • Take full accountability for front desk operations, ensuring excellence in scheduling, insurance verification, financial conversations, billing accuracy, and collections.
  • Audit daily workflows for compliance and consistency with Imagen policies; retrain team as needed.
  • Ensure patient credits, refunds, claims, and cash deposits are processed accurately and payments are collected at time of service.
  • Reconcile daily deposits, cash payments, revenue reports, and transactions in the dental practice management system (DPMS).

Financial Partnership & Practice Performance:
  • Own and manage the practice budget by ensuring all targets are both attainable and achieved, actively monitoring performance and collaborating with clinical and operational leaders to drive results.
  • Manage practice expenses by monitoring and controlling costs related to supplies, lab fees, and labor, ensuring alignment with budget targets and operational efficiency goals.
  • Execute strategies to optimize revenue, improve billing processes, and strengthen collection opportunities.
  • Collaborate with the finance team to understand financial results and opportunities for sustainable growth.
  • Support annual budgeting and forecasting process by providing data, insights and accountability on practice-level metrics.
  • Productively identify inefficiencies or missed revenue opportunities and lead solutions in collaboration with central support teams (Finance, Billing, RCM).
  • Review and verify daily financial reports to ensure accurate cash handling and financial integrity.

Other:
  • Execute other related responsibilities as assigned by leadership to support practice operations and practice success.

Responsibilities
The Operations Manager (OM) is a strategic and hands-on leader responsible for driving practice growth through operational excellence and a positive patient experience. In partnership with the Owner Doctor and regional leadership, the OM will lead daily front office operations, manage revenue cycle workflows, and execute strategies to enhance performance across all people in the practice, processes, and profitability. This role requires a dynamic leader who can cultivate a high-performing team, champion patient-centered service, and optimize financial outcomes while aligning with IDP's mission and values.
Qualifications
Required Qualifications
  • Proven experience as a Dental Office Manager or a similar leadership role with a demonstrated track record of driving growth for 2+ years
  • Ability to work 5 days every week
  • 1+ years' experience owning the profit and loss statement
  • Entrepreneurial mindset with a focus on innovation and continuous improvement
  • Excellent analytical skills and the ability to leverage data for strategic decision-making
  • Proficiency in providing effective leadership by inspiring and motivating teams

Preferred Qualifications:
  • Experience managing the full revenue cycle, including insurance claims, collections, and patient billing
