Summary

We’re looking for an organised and enthusiastic Administrative Assistant to be part of something special from the early days. This is a unique opportunity to help launch a new operation, and play a hands on role in shaping new processes and ways of working. As a founding member of the team, you’ll have the chance to make a real impact, grow with the business, and be part of a company that’s investing in its people, its technology, and its future.
As an Administrative Assistant at Vuba, you will:
 
  • Maintain accurate inventory records in warehouse management or ERP systems.
  • Conduct regular inventory audits and reconcile stock discrepancies.
  • Generate inventory reports and track stock levels.
  • Update records for incoming and outgoing goods.
  • Process shipping and receiving documentation.
  • Verify incoming shipments against purchase orders and invoices.
  • Coordinate inbound and outbound deliveries with carriers and suppliers.
  • Track shipments and resolve discrepancies.
  • Process customer and internal orders through warehouse systems.
  • Monitor picking, packing, and shipping activities to ensure accuracy and timeliness.
  • Maintain documentation related to orders and returns.
  • Schedule pickups and deliveries with transportation providers.
  • Assist with planning storage locations and warehouse space utilisation.
  • Support logistics and supply chain operations.
  • Maintain warehouse documentation, reports, and records.
  • Assist with compliance and safety documentation.
Support warehouse management with operational reporting and audits.
  • Communicate with internal departments, vendors, and customers.

Qualifications and Experience:
  • Previous warehouse or administrative experience.
  • Strong computer skills including Microsoft Excel and Office applications.
  • Excellent organizational and communication skills.
  • Attention to detail and accuracy.
  • Time management and multitasking ability.
  • Problem solving and analytical skills.
  • Knowledge of warehouse operations and logistics.
