POSITION SUMMARY
  • Reports To:
    • Executive Director of Physician Practices.

  • Work Schedule:
    • Work schedule may vary based on organizational and operational needs and may require work beyond the standard workweek, including evenings, weekends, participation in hospital-sponsored community events, volunteer activities representing the organization, and hours in excess of 40 per week, as necessary to fulfill job responsibilities.

  • Summary:
    • The Manager of Practice Operations is responsible for the overall administrative, financial, operational, and personnel management of the medical practice.  This position ensures efficient daily operations, fiscal integrity, regulatory compliance, and exceptional patient care while providing leadership to clinical and administrative staff.  The Manager of Practice Operations serves as the primary liaison between physicians, hospital leadership, staff, vendors, and external partners to promote operational excellence, maintain a positive patient experience, and support the strategic goals of the organization.

SKILLS and ABILITIES
  • Education:
    • Associate degree from an accredited college, university, or technical school required; relevant work experience may be considered in lieu of some educational requirements.

      Bachelor’s degree preferred

  • Experience:
    • Minimum of three (3) years of experience in a healthcare, physician practice, or clinic setting required.

      Prior supervisory or management experience required.

      Physician practice management, ambulatory operations, and healthcare leadership experience preferred.

  • Computer Skills:
    • Proficient in Microsoft Office, email, and other standard computer applications, with the ability to learn and effectively use software systems required for assigned responsibilities.

    • Serves as the primary liaison between physicians, hospital leadership, staff, and affiliated departments to foster collaborative working relationships and effective communication.
    • Supports physicians and advanced practice providers by coordinating resources and resolving operational issues that impact patient care and practice efficiency.
    • Oversees clinic scheduling, patient flow, and practice operations to maximize productivity, access, and patient satisfaction.
    • Ensures compliance with Human Resources policies, organizational standards of behavior, and established performance expectations.
    • Manages the practice's financial operations, including budgeting, payroll oversight, accounts payable and receivable processes, and operational performance monitoring.
    • Aligns clinical operations and revenue cycle performance through oversight of charge capture, documentation integrity, denial prevention, and revenue cycle metrics to optimize reimbursement, financial outcomes, and the patient experience.
    • Analyzes financial, operational, and productivity data, including wRVU and other key performance metrics, to support decision making and identify opportunities for improvement.
    • Ensures compliance with all applicable federal, state, and local regulations, accreditation standards, organizational policies, HIPAA, OSHA, infection prevention, safety, and risk management requirements.
    • Develops, implements, monitors, and enforces policies, procedures, regulatory documentation, and operational records to promote compliance, consistency, and effective practice operations.
    • Manages inventory, equipment, medical and office supply resources, and vendor relationships through established organizational procurement processes.
    • Serves as the practice resource for Electronic Medical Record (EMR) support and coordinates technology-related issues with the Information Technology department and other organizational resources.
    • Maintains time and attendance records and oversees payroll-related processes for practice employees.
    • Monitors patient satisfaction and service quality indicators, responds to escalated concerns, and implements corrective actions and process improvements as needed.
