Warranty Administrator
Michael Hohl Automotive Group is a trusted, multi-line dealership serving Northern Nevada. We are committed to delivering an exceptional customer experience and building a team that shares our passion for automotive excellence.
We are looking for a detail-oriented Warranty Administrator to own the warranty claims process from start to finish. In this role, you will be the connection between our service department and the manufacturer - ensuring that every eligible repair is documented accurately, submitted on time, and paid in full. If you are organized, deadline-driven, and comfortable navigating OEM systems, this is a great opportunity to grow with a strong dealership team.

Responsibilities
  • Review and process warranty repair orders to ensure claims meet OEM documentation and compliance requirements before submission
  • Submit warranty claims accurately and on time through manufacturer portals and DMS platforms
  • Monitor open and pending claims, following up with the manufacturer to resolve rejections, short pays, and chargebacks
  • Work closely with service advisors and technicians to ensure repair orders are written with sufficient detail to support warranty claims
  • Reconcile warranty receivables and communicate aging claims to service management
  • Stay current on manufacturer warranty policies, bulletins, and procedural updates and communicate relevant changes to the service team
  • Maintain organized records of all submitted claims, approvals, rejections, and supporting documentation
Requirements
  • Prior experience as a warranty administrator at a franchised dealership preferred
  • Familiarity with OEM warranty portals and claim submission processes (domestic or import)
  • Proficiency with a dealership management system such as CDK or Reynolds & Reynolds
  • Strong attention to detail and ability to manage multiple open claims simultaneously
  • Effective written and verbal communication skills for working with service staff and manufacturer representatives
