Position Summary

The Data Center Safety Administrative Assistant provides administrative and operational support to the DC Safety Department within active data center construction and operations environments. This position assists with safety documentation, compliance tracking, training coordination, reporting, onboarding, and communication to help maintain a safe and compliant workplace. Effectively working in a highly organized, detail-oriented, and fast-paced construction and technical environment.

Key Responsibilities

  • Maintain and organize safety records, reports, inspections, permits, and compliance documentation.
  • Assist with employee onboarding, orientation scheduling, and safety training records.
  • Assist with employee safety training scheduling.
  • Assist site safety coordinators with site specific documentation/accuracy as directed by the safety manager.
  • Track certifications, licenses, and required safety training for employees and subcontractors.
  • Prepare daily, weekly, and monthly safety reports and spreadsheets.
  • Support incident reporting processes, including documentation and record retention.
  • Coordinate external and internal correspondence.
  • Coordinate meetings, safety audits, inspections, and site visits.
  • Manage data entry within safety management systems and internal databases.
  • Assist with distributing safety communications, alerts, and policy updates.
  • Assist with ordering safety equipment and supplies.
  • Monitor inventory of safety supplies, PPE, and office materials.

Work Environment

  • Combination of office and active data center/construction site environments.
  • Exposure to noise, dust, and changing site conditions.
  • May require occasional travel or flexible scheduling based on project needs.

Education and Qualifications:

  • Excellent written and verbal communication skills.
  • High school diploma or GED required.
  • 1–3 years of administrative experience, preferably in construction, industrial, manufacturing, or data center environments.
  • Basic understanding of OSHA regulations and workplace safety practices preferred.
  • Proficient in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Experience with construction document control systems or safety management software.
  • Strong organizational skills, and attention to detail.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Ability to work independently and as part of a team.
  • Must have the ability to work and communicate effectively with employees and customers.
  • Possess the ability to multi-task and handle a variety of tasks while maintaining strong attention to detail.
  • Must have excellent time management skills and the ability to meet deadlines with accuracy.
  • Must possess a current Facebook account, in good standing, or have the ability to obtain one.
  • Must be able to pass a background check and drug screen.

Preferred Skills/Certifications:

  • OSHA 10 or OSHA 30 preferred.
  • Associate or Bachelor’s Degree.
  • Current First Aid/CPR/AED certification or willingness to obtain.
  • Prior Administrative experience.
