Job description

DBS Staffing Services, Inc. is looking for a driven and detail-oriented Administrative Assistant specializing in Accounts Payable to assist our clients.

As a family-owned staffing agency, we are dedicated to delivering outstanding service to both our clients and candidates. This role is crucial in facilitating the efficient management of our client's financial operations.

In the capacity of Administrative Assistant, your duties will include managing invoices, processing payments, and ensuring that financial records are precise and up to date. The perfect candidate will possess a keen eye for detail and the capability to juggle multiple responsibilities in a dynamic environment.

Responsibilities
  • Process and manage accounts payable invoices promptly.
  • Verify and reconcile vendor accounts and statements.
  • Prepare and execute payment runs.
  • Maintain well-organized financial records and documentation.
  • Assist with month-end closing processes.
  • Provide administrative support, including document creation, filing, and inventory management.
  • Assist the General Manager with calendar management, meeting coordination, communication, and workflow optimization.
  • Facilitate the transition and documentation of responsibilities from the retiring GM.
  • Maintain and update data within ERP systems.
  • Create and manage Excel spreadsheets, reports, and data analysis.
  • Coordinate internal communications and follow up on key action items.
  • Handle sensitive information with professionalism and discretion.

Requirements

  • High school diploma required.
  • Proven experience in accounts payable and administrative or executive assistant roles.
  • Proficiency in Microsoft Office Suite - especially Excel is a must.
  • Experience with ERP systems is strongly preferred.
  • Excellent attention to detail, accuracy, and follow-through.
  • Strong organizational and time-management skills with the ability to prioritize effectively.
  • Professional written and verbal communication skills.
