Job description

Job Purpose

Manages all data for the admissions, enrollment, and financial aid processes. Administers and oversees data manipulation, statistical reporting, and analysis. Supports the admissions leadership team in attracting and enrolling qualified students who align with the organization's mission and values.

Requirements

  • 1-3+ years of database management experience, with a relevant college degree or equivalent coursework/work experience in database management, admissions, or IT.
  • Advanced knowledge of database systems, with strong computer skills across Google Suite, MS Word, and Excel and the ability to quickly learn new platforms. Experience with education-specific CRM/database systems is a plus, but not required.
  • Detail-oriented with strong organizational, analytical, planning, and writing skills, and the ability to manage multiple projects and deadlines at once.
  • Strong communication skills and the ability to engage comfortably with multiple constituent groups, both verbally and in writing.
  • Occasional evening and/or weekend work required.

Key Responsibilities

  • Data & Systems: Maintain and manage the admissions database, track current and prospective students, and oversee configuration and daily operation of the admissions portal. Lead the annual online re/enrollment process, enter and import financial aid awards, keep enrollment records accurate, identify and correct duplicate records or data errors, and act as liaison with the database platform's technical support team.
  • Reporting & Analysis: Build report queries and dashboards for the admissions team, generate the annual admissions report and other reports for external accrediting or industry organizations, and use data to track key metrics and inform decisions.
  • Communication & Family Support: Generate letters and correspondence on admissions and financial aid decisions, manage drip campaigns and professional email communication, and provide technical support and guidance to families through the admissions, financial aid, and enrollment processes.
  • Financial Aid & Events: Support the financial aid committee with award entry and letter generation, and engage directly with prospective students and families during open houses, campus tours, information sessions, and other recruitment events.
  • General: Manage workload independently while contributing to the overall success of the admissions team, maintain high levels of confidentiality with sensitive data, and take on other duties as assigned.
