Job description

Required

  • Associate degree or equivalent combination of education and relevant work experience.
  • 3–5 years of experience in an administrative, business office, or executive support role.
  • Strong experience with database management and customer service.
  • Proficiency in Microsoft Office Suite, including Excel and PowerPoint.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to work independently and manage competing priorities.

Preferred

  • Bachelor's degree in Business Administration or a related field.

Key Responsibilities

  • Provide high-level administrative and operational support to executive leadership.
  • Manage and coordinate special projects, conducting research, analysis, and recommending solutions to improve organizational processes and efficiency.
  • Evaluate and improve administrative systems, procedures, record-keeping practices, and workflow processes.
  • Implement process improvements within assigned areas of responsibility and support broader organizational initiatives.
  • Collect, analyze, maintain, and report on data to support business operations and decision-making.
  • Prepare professional documents, reports, presentations, and other business communications.
  • Manage executive calendars, prioritize meetings, coordinate schedules, and ensure all necessary materials and participants are prepared.
  • Screen and prioritize incoming communications, including email, phone calls, and correspondence.
  • Plan, coordinate, and execute meetings, events, and organizational activities.
  • Assist in the development, preparation, and distribution of materials for staff, leadership, and stakeholders.
  • Maintain confidentiality while handling sensitive and proprietary information.
  • Serve as a liaison between executive leadership and internal and external stakeholders.
  • Build and maintain positive working relationships across all levels of the organization.
  • Record meeting discussions, key decisions, and action items as needed.
  • Perform additional duties and responsibilities as assigned.
