Job Summary
The Project Manager, End User, is a highly skilled program/project leader who leads and oversees complex projects from initiation to completion. They have extensive experience in project planning, execution, and stakeholder management, ensuring projects are delivered on time, within scope, and within budget. This role will play a key role in ensuring high levels of customer satisfaction while driving project coordination, rollout activities, and internal alignment across sales, operations, and service teams. This role offers a unique opportunity to develop skills in client relationship management and project delivery within a high-visibility, fast-paced customer environment.
Supervisory Responsibilities
This position has supervisory responsibilities and reports to the Sr. Project Manager of Operations.
Core Job Responsibilities
The End-User Project Manager will oversee and manage all aspects of End-User/ Organic projects, ensuring they are completed on time, within budget, and to the highest quality standards. This role involves coordinating with various teams, managing subcontractors, and ensuring compliance with safety regulations.
Project Planning and Coordination:
  • Review new orders, PO documents, and safety documents.
  • Manage work orders, including reviewing notes, documents, and submittals.
  • Facilitate collaboration among internal and external teams, including customers, subcontractors, sales, and field superintendents.

Safety Management:
  • Ensure compliance with job site safety regulations, their safety certifications documents, including OSHA 10, OSHA 30, forklift, scissor lift, CPR certification, and site-specific safety plans as needed.
  • Conduct job hazard analysis (JHA) and maintain safety data sheets (SDS) as needed.

Work Order and Material Management:
  • Track and arrange material deliveries, coordinate with freight vendors, and manage rental equipment.
  • Oversee subcontractor management, including negotiating rates and managing labor purchase orders.

Change Events and Warranty Management:
  • Handle change events by coordinating with account executives and customers.
  • Assess and manage warranty requests, determining root cause/responsibility and coordinating repairs.

Backlog and Forecasting:
  • Conduct backlog reviews to ensure accurate work order status, scheduling, and forecasting.
  • Submit forecast projections and maintain accuracy in delivery dates.

Team Management and Training:
  • Manage and train field superintendents and equipment coordinators.
  • Implement standard operating procedures (SOPs) and best practices for team efficiency.

Customer Communication:
  • Maintain proactive communication with customers, providing updates on project status, and addressing any concerns.
  • Represent the company in project-related meetings and on-site if needed.

Billing Preparation:
  • Prepare progress billing documentation, ensuring accurate representation of work completed to date.
  • Oversee final billing procedures, including reconciliation of project costs and submission to clients.
  • Collaborate with accounting and finance teams to ensure timely and accurate billing.
  • Ensure and maintain billing cadence.

Project Obligation Execution:
  • Ensure all obligations are executed in accordance with project specifications and timelines.
  • Monitor adherence to quoted/purchase order terms and conditions, addressing any discrepancies or issues promptly.
  • Coordinate Safety and/or insurance documents, as needed.

Requirements
  • Minimum of two (2) years of experience in construction project management, preferably with a focus on commercial dock and door installation.
  • Demonstrated knowledge of applicable safety regulations, standards, and required certifications. This includes OSHA rules.
  • Strong organizational and time-management abilities, with the capacity to prioritize tasks effectively.
  • Ability to manage multiple projects concurrently and perform effectively in a fast-paced or high-pressure environment.
  • Effective verbal and written communication skills, along with strong interpersonal abilities.
  • Proficiency in project management software, systems, and related tools.
  • Experience using Microsoft Office Products: Outlook; Excel; and Word.
  • Must have a valid state issued Driver's License with a Department of Motor Vehicles (DMV) driving record acceptable to insurance carrier.
  • The selected candidate will be required to pass a criminal history background check.
