JOB SUMMARY:Β Reporting to the Program Director, the Data and Office Manager is aΒ key member of the New Settlement YouthBuild team,Β responsibleΒ forΒ overseeingΒ operations and data management functions for the program. ThisΒ role supportsΒ theΒ effective day-to-dayΒ functioning ofΒ the program and ensuresΒ contract compliance through the managementΒ ofΒ studentΒ records, fiscal processes, and performance tracking.Β Β 

The Data and Office Manager alsoΒ playsΒ a vital role in participant engagement, interacting directly with young adults ages 17.5 to 24 and serving as a liaison between the program andΒ internalΒ administrative departments. ThisΒ positionΒ requires a high degree of initiative, professionalism, attention to detail, andΒ discretion inΒ handlingΒ confidential information and vendor relationships.Β 

KEY RESPONSIBILITIESΒ 

Administrative OperationsΒ 

  • ManageΒ daily officeΒ operations, includingΒ receptionΒ coverage, scheduling appointments,Β andΒ respondingΒ toΒ generalΒ inquiries.Β 

  • Serve as the primary point of contact for administrativeΒ coordinationΒ with theΒ main office, including facilitiesΒ and operationalΒ mattersΒ (e.g.,Β building maintenanceΒ andΒ incident reporting).Β 

  • Order, track,Β andΒ maintainΒ inventoryΒ of office supplies and materials;Β establishΒ andΒ manage vendor relationships.Β 

  • PerformΒ general office duties, includingΒ correspondence, filing, answering phones, copying, and scanning.Β 

  • Provide administrative support forΒ special events, recruitmentΒ efforts, and volunteer activities.Β 

Data Management & ReportingΒ 

  • MaintainΒ accurateΒ andΒ timelyΒ data entryΒ acrossΒ proprietaryΒ databases andΒ internal and external dataΒ systems,Β includingΒ spreadsheets, and digital recordkeepingΒ platforms.Β 

  • Enter, track, and updateΒ data related to studentΒ participation, attendance, assessments, and program outcomes.Β 

  • ProduceΒ accurateΒ andΒ timelyΒ reports for internal use and external funders, including monthly data reports for the Program Director.Β 

  • Monitor data trends and support program evaluation, compliance monitoring,Β and continuous improvement efforts.Β 

Financial SupportΒ 

  • Support the Program Director withΒ purchasingΒ coordinationΒ and budget tracking,Β as needed.Β 

  • Process and trackΒ purchase orders,Β invoices,Β and expenseΒ documentationΒ for submissionΒ and recordkeeping.Β 

  • TrackΒ student timesheets, stipends,Β and incentiveΒ requests; prepare submissions forΒ payment processingΒ according to company policy andΒ standards. MissionΒ of W-9s and related fiscal documentation.Β 

Student Services & EnrollmentΒ 

  • Manage the full student intake and application process, including conducting interviews, collectingΒ requiredΒ documentation, verifyingΒ eligibility,Β andΒ maintainingΒ the enrollment pipeline.Β 

  • TrackΒ studentΒ attendanceΒ andΒ performanceΒ outcomes andΒ follow up withΒ participantsΒ regardingΒ absences in coordination with program staff.Β 

  • Maintain and update student filesΒ in accordance withΒ programΒ requirementsΒ and contract complianceΒ standards.Β Β 

QUALIFICATIONS & EXPERIENCE:Β Β 

  • Associate's degreeΒ andΒ a minimum ofΒ two (2)Β years of relevant experience in office administration, data management, orΒ a relatedΒ field.Β A combination of education and relevant professional experience that provides the knowledge, skills, and abilities needed for the role may be consideredΒ 

  • PreviousΒ experience working withΒ opportunityΒ youth, preferably in aΒ community-based setting.Β 

  • Strong commitment to empowering young adults and helping them reach their academic and career goals.Β 

  • Experience developing, implementing,Β orΒ improving administrative systemsΒ stronglyΒ preferred.Β 

  • Excellent organizational skills and attention to detail, with theΒ ability to manage multiple projectsΒ and prioritiesΒ simultaneously.Β 

  • Strong computer skills, includingΒ proficiencyΒ with Microsoft Office, Google Workspace, and database systems.Β 

  • Excellent written and verbal communication skills.Β 

  • Bilingual (English/Spanish) preferred.Β
