Systems & Data Manager
Salary Range: $80-$110k
Position Summary:
At the direction of the Country Controller and in coordination with the IT Manager, the Systems & Data Manager will be responsible for orchestrating, optimizing, and implementing ERP systems, business intelligence solutions, data integration initiatives, and AI-enabled technologies across all functions of Polygon US. The role will drive operational excellence by leveraging enterprise systems, reporting platforms, workflow automation, and project management methodologies to improve efficiency, data-driven decision-making, and customer outcomes.
This position partners with Finance, Sales & Marketing, Operations, Human Resources, and IT to continuously improve business processes, develop KPI dashboards and reporting tools, manage cross-functional projects, and ensure seamless integration of business systems. The Systems & Data Manager will play a key role in advancing business intelligence capabilities, AI adoption, and workflow optimization to support the long-term success of Polygon US and its customers.
The Systems & Data Manager will primarily focus on maximizing the functionality and effectiveness of NetSuite ERP, Power BI, Microsoft Copilot AI solutions, and related business applications to enhance operational performance, reporting accuracy, process efficiency, and customer service delivery.
Essential Job Functions:
  • Serve as the primary business owner and "point person" for NetSuite ERP, including reporting, dashboards, workflows, system enhancements, data governance, user adoption, and AI-enhanced capabilities.
  • Lead the development, maintenance, and continuous improvement of enterprise reporting, KPI scorecards, dashboards, and business intelligence solutions utilizing Power BI and other reporting tools.
  • Design, manage, and optimize business process workflows across departments to improve efficiency, visibility, standardization, and regulatory compliance.
  • Coordinate systems, including NetSuite, Power BI, Microsoft Copilot, and other business applications, to provide accurate, timely, and actionable data to field operations and management while aligning with Polygon quality processes.
  • Own and manage enterprise data integration initiatives between ERP, CRM, project management, inventory management, and customer management systems to ensure data consistency and operational effectiveness.
  • Lead the evaluation, implementation, and adoption of Microsoft Copilot AI and other emerging AI technologies to improve productivity, reporting, analysis, workflow automation, and decision support.
  • Develop automated reporting solutions, workflow automation tools, and standardized KPI reporting that improve operational efficiency and business performance across all functions.
  • Establish and maintain data governance standards, master data management practices, and reporting frameworks to ensure data accuracy, consistency, security, and reliability.
  • Oversight and ownership of system functionality as modified, including operational support of tasks, projects, workflows, and business process improvements.
  • Partner with the IT Manager on application support, integrations, security, infrastructure requirements, data architecture, and technology roadmaps while maintaining business ownership of enterprise applications.
  • Work with the IT Manager and external consultants (e.g., ACS, Sererra) to optimize enterprise systems and develop management reporting tools that provide meaningful business insights.
  • Support integration of all sub-systems into the operating platform, including customer management, estimating, project management, inventory, HR, and financial systems, validating performance and business effectiveness.
  • Lead project management efforts for system implementations, upgrades, acquisitions, process improvement initiatives, and technology rollouts, ensuring projects are completed on time, within scope, and aligned with business objectives.
  • Coordinate the integration of acquisitions into Polygon processes, systems, reporting structures, and operational workflows.
  • Drive project implementation activities, stakeholder alignment, user acceptance testing (UAT), training, change management, and post-implementation support.
  • Build alignment across all Polygon US functions to embody the practices, methods, and values of the Polygon Model.
  • Investigate and initiate profit improvement activities through process optimization, automation, reporting enhancements, and operational analytics.

Operational Responsibilities:
  • Collaborate closely with the Country President, Country Controller, IT Manager, and Functional Leaders to identify opportunities for operational improvement and business intelligence enhancements.
  • Create and deliver training programs, user documentation, reporting resources, and change management materials to drive system adoption and operational excellence.
  • Develop reporting and KPI frameworks that increase business acumen and operational effectiveness throughout the organization.
  • Collaborate with business leaders to design dashboards, scorecards, and visual analytics tools that provide actionable business intelligence and support strategic decision-making.
  • Develop performance measurements that increase engagement and accountability at all levels, enabling technicians, managers, and regional leaders to make informed decisions regarding productivity, utilization, spending, capital investments, and inventory management.
  • Facilitate cross-functional business process reviews and workflow improvement initiatives to identify opportunities for automation, simplification, and continuous improvement.

Skills and Experience:
  • Action-oriented with strong organizational, analytical, and problem-solving skills.
  • Demonstrated expertise in enterprise reporting, business intelligence, data analytics, and dashboard development.
  • Experience leading data integration projects involving ERP, CRM, HRIS, and operational systems.
  • Strong understanding of business process workflow design, workflow automation, and process optimization methodologies.
  • Experience leveraging AI-enabled business tools, including Microsoft Copilot or similar technologies, to improve productivity and decision-making.
  • Proven project management experience, including managing multiple concurrent initiatives and coordinating cross-functional stakeholders.
  • Flexibility, integrity, and creative problem-solving skills are prerequisites for success in this role.
  • 3-5 years of experience working with enterprise systems (NetSuite and Power BI preferred).
  • Ability to collaborate cross-functionally on a national and global scale.

Job Qualifications:
  • Bachelor's degree in Business, Information Systems, Finance, Data Analytics, Computer Science, or a related field.
  • 3 - 5 years of experience in finance, business systems, business intelligence, or operational analytics, preferably within a widely distributed service organization.
  • Advanced Microsoft Office skills, particularly Excel, Power BI, and Microsoft 365 applications.
  • Experience with Microsoft Copilot, AI-enabled business applications, or workflow automation platforms preferred.
  • Strong knowledge of ERP systems, data integration architecture, reporting methodologies, and business intelligence tools.
  • Great interpersonal skills and the ability to work effectively within a national and international decentralized organization.
  • Proven personal leadership capabilities with a strong emphasis on streamlining business processes, driving operational excellence, and managing enterprise projects.
