Reception & Administrative Assistant

The Gathering Place – Brattleboro, Vermont
Full-Time | Monday–Friday - 8:30AM-4:30PM

The Gathering Place (Brattleboro Area Adult Day Services) is an Adult Day program serving Windham County Vermont. We serve adults with a wide range of physical and cognitive abilities. Our participants enjoy music, arts, games, exercise, and companionship - just to name a few!

We are currently seeking an organized and detail-oriented for the position of Reception & Administrative Assistant.

This position serves as the front desk for our adult day center and is responsible for greeting visitors, answering phones, coordinating participant transportation, and providing clerical support to the organization. While there are a variety of administrative projects throughout the year, the primary focus of this role is reception and transportation coordination.

ResponsibilitiesReception
  • Welcome participants, families, visitors, volunteers, and community partners.
  • Answer incoming telephone calls and direct callers to the appropriate staff member.
  • Help create a welcoming and professional environment for everyone who visits or contacts The Gathering Place.
Transportation Coordination
  • Coordinate participant transportation requests and communicate schedule changes with transportation providers.
  • Coordinate transportation for participant medical appointments on attendance days.
  • Assist with routine transportation issues and notify management of concerns or service disruptions.
  • Maintain accurate transportation information and communicate changes promptly.
Administrative Support
  • Maintain participant attendance records and complete data entry.
  • Prepare enrollment packets, mailings, and other administrative materials.
  • Assist with fundraising mailings and community communications.
  • Post photos and updates to Facebook and assist with basic marketing activities.
  • Provide clerical support for projects and administrative tasks throughout the year.
  • Complete filing and other general office duties.
  • Perform other duties as assigned.
Qualifications

The successful candidate will:

  • Have prior experience in an office support role
  • Have computer skills including MS Office and Outlook and comfortable learning new software.
  • Enjoy interacting with people and providing excellent customer service.
  • Be organized, dependable, and attentive to detail.
  • Be able to manage interruptions while staying organized and following through on tasks.
  • Communicate professionally in person, on the telephone, and in writing.
  • Have an interest in serving older adults, adults with disabilities, and their caregivers.

Computer skills are required - you will be working with products such as Microsoft Office (Word, Excel, etc) and Outlook, marketing software, social media and various web-based programs.

Schedule: 37.5 hours per week, Monday-Friday 8:30pm-4:30pm.

Expected rate of pay: $17+ depending on experience and qualifications.

Eligible for paid time off benefits, dental, vision, life, LTD and AD&D coverage at no cost (employee only).We are unable to offer health insurance.403(b) match after one year.
