Job description

SUMMARY
Monitors lines of communication to receive and transmit information in order to coordinate operations, personnel, and vehicles carrying out the day-to-day Port vessel work. Perform quality data entry work within deadlines with or without direct supervision. This position is responsible for the accuracy, efficiency, and retrieval of operational data. This position must proof data entered, as well as generate data reports as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Work directly in conjunction with the Operation Supervisors, Managers, and Service Technicians as a support role, in receiving customer and internal communications as needed and disseminating those communications to the correct points of contact.
  • Monitors radios, cell phones, and internet-based lines of communication to receive and disburse information accordingly.
  • Prepares and completes required daily reports, for dedicated/pool customers, including utilization, tractor hours, breakdown logs, and service sheets.
  • Complete all GCT accident reports as needed.
  • Reconcile CORR information with Equipment Rental Reports and other Operational paperwork.
  • Respond to GCT visitors and incoming phone calls from customers, vendors, and parts inquiries. Transfer calls to the appropriate location.
  • Verify and perform data entry of Input Hobbs and date/time verifications.
  • Enter, revise and/or combine numerical data, and preformatted data retrieval information.
  • Review discrepancies in data received request clarification or advise supervisor of issues related to data.
  • Compile, sort, and verify the accuracy of data before it is entered, review for discrepancies in data received, request clarification, or advise supervisor/manager of issues related to data, and perform data verification routines in accordance with Company procedures.
  • Read source documents such as Operations’ paperwork, CORR sheets, tire work-orders, etc, and enter data in specific data fields.
  • Store completed documents in appropriate files, books, computer directories, and subdirectories.
  • Perform other duties as required by the Terminal Manager and/or Operations Manager.
  • Comply with Company/agency policy/procedures. Maintain a clean and safe work environment. Wear required personal protective equipment during the performance of job duties.
  • Must pass a background check and drug screen.
  • Possess a valid driver’s license and be able to obtain a TWIC card.
VERSATILITY
This position requires being careful about detail and thorough in completing work tasks and must perform quality work within deadlines with or without direct supervision.
Knowledge of administrative and clerical procedures, managing files and records, office procedures and terminology is helpful. There is the importance of being exact or accurate in performing this job. Proficiency with communication via cell phones, radios, and computers is a must.
ADAPTABILITY
This position requires developing ways of doing things, guiding oneself with little or no supervision, and depending on oneself to get things done. The ability to concentrate on a task over a period of time without being distracted is important. Must be able to tolerate the repetition of the same tasks (e.g., key entry, checking entries) without stopping. Must be able to work independently while understanding the necessity for communicating and coordinating work efforts with other employees, as well developing own specific goals and plans to prioritize work tasks.

Tact and other people/communication skills are necessary to perform this position successfully.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to talk or hear. The employee must frequently lift and/or move up to 10 pounds. The employee frequently is required to use hands and arms in handling, and manipulating things, stand, walk, sit for extended periods, and climb in and out of industrial equipment.
