Summary Description:

The HR Data Management Specialist plays a critical role in supporting core HR processes and maintaining accurate employee data within Toppan's HRIS systems (Workday HR, UKG Time & Attendance, and ADP Payroll). This position is responsible for executing day-to-day HR transactions, ensuring compliance with company policies, and delivering high-quality service to employees and internal stakeholders. The ideal candidate is detail-oriented, process-driven, and comfortable working with HR systems and confidential information

What you'll be doing:

1. High-Volume Data Entry & Employee Transactions

  • Entering new hires in Workday and ADP Lyric (when Workday onboarding is incomplete)
  • Processing or verifying employee lifecycle changes in Workday:
    • Promotions, transfers, terminations
    • Leaves of absence (LOA) and returns (RFL) and verifying that data is correct
  • Managing compensation updates and verifying union assignments
  • Validating new hire personal information

2. Benefits Administration & Vendor Auditing

  • Ongoing auditing of benefits across ADP and multiple vendors (Empower, Aptia, Optum, Manulife)
  • Extracting and validating employee elections via Benefits Data Management
  • Processing benefit changes directly in ADP
  • Reviewing daily benefits files and resolving:
    • Invalid or "needs attention" transactions
    • Overlapping coverage dates
    • Payroll sync failures
  • Managing ongoing data cleanup

3. Data Reconciliation & Reporting

  • Pulling and analyzing census reports to reconcile Workday vs ADP data
  • Tracking and auditing all data changes within ADP
  • Investigating discrepancies across systems and ensuring alignment
  • Addressing issues where transactions complete but do not reflect in employee records

4. File Monitoring & Error Resolution

  • Daily review of HR inbound interface files
    • Identifying and resolving

  • Ticket review
  • Toppan Benefits inbox
  • Invoices/payments/Coupa
  • Research employee issues
  • Base Rate Sheet updates/changes
  • Assistance with OE and Merit, if needed

5. Project Work

This is an onsite position located in either Hartsville, SC or Charlotte, NC (South End) Office

  • Highly organized with the ability to manage multiple tasks and priorities simultaneously.
