Are you passionate about mission-driven work and believe in second chances and the power of community support? We’re looking for a professional secretary to lead our office operations in our secure youth residential facility. If so, Spectrum Juvenile Justice Services wants you on our team!

Key Responsibilities:

  • Manage daily office operations with minimal supervision, ensuring all administrative tasks align with Child Caring Institution (CCI) standards and agency policies.
  • Serve as the first point of contact for callers, visitors, clients, and community members, maintaining a professional, courteous, and trauma-informed approach at all times.
  • Perform data entry and maintain records by ensuring accurate, up-to-date information in agency databases and keeping organized electronic and physical filing systems in accordance with confidentiality and retention requirements.
  • Handle communication and correspondence, including answering and directing phone calls, drafting and typing reports, correspondence, and meeting minutes, and processing and distributing mail, faxes, and packages.
  • Schedule and coordinate agency events, meetings, and staff trainings, including sending weekly updates and reminders.

You’re someone who is a polished, experienced clerical support professional who possesses exceptional organizational and interpersonal skills.

  • Has a minimum of two (2) years of clerical or administrative support experience in an office setting.
  • Has experience within a Child Caring Institution (CCI), social services, or behavioral health organization (preferred).
  • Is proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrates strong typing skills (minimum 50 WPM).
  • Possesses exceptional written and verbal communication abilities.
  • Is a highly organized self-starter with strong time-management skills and the ability to multi-task and prioritize competing demands.
