Job Description:
Madison College is seeking a Student Services Coordinator to join our collaborative, supportive, people-first team. This position provides frontline support to students as they navigate enrollment and access college services, serving as the first point of contact and a central resource for intake, registration and referral processes. Success in this role involves fostering a welcoming environment, accurately assessing student needs and facilitating timely access to appropriate resources and services. This position contributes to institutional objectives by enhancing the student experience, promoting equitable access and supporting the effective delivery of student services.
The School of Academic Advancement provides Adult Education opportunities for adult learners in our community through High School Completion (GED/HSED), English as a Second Language (ESL), Development Education and Integrated Education and Training (IET) programming.
We are looking for someone who brings a student-centered mindset, strong communication, problem-solving, and customer service skills, along with a collaborative approach to their work. In this role, you will partner with School of Academic Advancement faculty/staff, as well as cross-functional teams across Enrollment Services, Academic Advising, Career and Employment Services, Disability Services, Financial Aid, and other areas, gaining broad exposure to campus resources while playing a key role in improving student access, engagement, and success.
Position Details:
  • Schedule: This is a full-time position, 40 hours per week, 52 weeks out of the year, with core hours Monday through Friday, 8:00 AM - 4:30 PM, with occasional evening hours required depending on School related events.
  • Benefits: Madison College offers an excellent benefits package including vacation, holidays, health, vision, dental and life insurance, and participation in the Wisconsin Retirement System (WRS).
  • Grant-Funded Position: This position is funded through an annual grant. The current funding period extends through June 30, 2027, with funding anticipated to be renewed annually.
  • Location: This position is located at our Goodman South branch campus. Limited travel to other branch campuses is expected.

Accountabilities:
  • Serve as a primary point of contact for walk-in, phone and online inquiries to ensure students and visitors receive timely assistance and are connected to appropriate college services.
  • Supports student intake by assisting with account creation, placement testing and appointment scheduling to facilitate seamless onboarding and enrollment processes.
  • Assists with enrollment for high school completion, basic education and English language learning programs by reviewing student records and helping determine course needs to support appropriate placement.
  • Triages student concerns and questions across a broad range of topics including academic, financial and personal needs to ensure timely referrals to relevant resources and services.
  • Administers standardized assessments and ensures accurate data entry and test security to support compliance with grant and state requirements.
  • Coordinates with staff to support outreach, events and communication efforts including appointment tracking and student contact lists to enhance engagement and student retention.
  • Supports office operations by maintaining front desk coverage, providing administrative assistance and collaborating with faculty and staff to ensure smooth day-to-day operations.
  • Contributes to an inclusive, equitable and supportive environment where everyone at the institution feels valued, respected and empowered to reach their full potential.

Knowledge, Skills & Abilities:
  • Knowledge of, or ability to quickly learn, enrollment processes, testing procedures and student support services.

Minimum Requirements:
  • Associate's Degree or equivalent work experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
  • 1-2+ years of relevant work experience
