Job description

Project Manager

1. Pre-Project Planning & Job Start Preparation
  • Review full project documentation (drawings, specifications, estimates, contract) and identify risks or inconsistencies
  • Conduct handover meeting with estimating team to clarify scope, pricing, and contract details
  • Verify material availability and optimize use of existing inventory when possible
  • Confirm project schedule, site access, setup requirements, and client-specific conditions with the customer representative
  • Place and review material orders (including tapered systems where applicable)
  • Conduct site visit prior to mobilization to assess readiness
  • Communicate additional costs if site access or readiness delays require crew standby or remobilization
  • Review project files with foreman prior to start, including:
    • Scope of work
    • Material requirements
    • Site setup and logistics
    • Safety expectations
  • Validate consistency between contract drawings and site conditions
  • Define labour requirements, productivity targets, and daily output expectations
  • Coordinate equipment needs, maintenance status, delivery, and safety compliance
  • Confirm structural deck conditions (slope, suitability) in writing prior to mobilization
  • Obtain required confirmations from suppliers (e.g., slope/taper certification when applicable)
  • Ensure proper site protection measures are in place (e.g., parking control signage for reroofing projects)
2. Job Execution & Site Management
  • Attend site at project kickoff with foreman to provide direction and complete required setup documentation
  • Ensure completion of Job Safety Analysis (JSA) and hazard assessments prior to work start
  • Verify all safety systems are in place (barricades, signage, PPE, fall protection, etc.)
  • Monitor housekeeping standards daily and enforce cleanliness expectations
  • Confirm material deliveries match purchase orders and project requirements
  • Conduct daily site visits and document progress with photos and reports
  • Track production progress against schedule and report updates during weekly meetings
  • Complete regular site inspections and maintain safety logs and deficiency records
  • Monitor labour hours daily and review variances with operations management
  • Maintain daily communication with client representatives regarding site status and scheduling
  • Coordinate daily labour and material requirements with foreman for upcoming work
  • Ensure materials availability through project completion
  • Address and escalate any damages, back charges, or incidents immediately
  • Ensure all issues are documented and resolved in a timely and professional manner
3. Project Completion & Close-Out
  • Conduct final deficiency walkthrough with foreman, consultant, and/or client
  • Ensure full site cleanup (interior, exterior, roof, and ground areas)
  • Return excess materials and equipment to designated storage location
  • Verify equipment servicing prior to transfer to next project
  • Complete final review of project file:
    • Billing
    • Warranty documentation
    • Change orders / extras
    • Final inspections
  • Request supplier warranties and close all documentation requirements
  • Submit completed project file to operations management
4. Administrative Responsibilities
  • Prepare monthly progress billing summaries for review
  • Ensure timely invoicing (mid-month and end-of-month cycles as required)
  • Track and report all change orders and project extras
  • Issue and manage purchase orders for subcontractors and suppliers
  • Maintain complete project records (emails, correspondence, meeting notes, change orders)
  • Ensure all cost impacts are communicated to finance/management in a timely manner
5. Weekly Reporting & Production Meetings
  • Report job performance including labour utilization, progress, and remaining scope
  • Provide feedback on estimating accuracy based on actual field results
  • Explain job variances (over/under budget or labour hours)
  • Raise operational issues for group discussion (back charges, delays, productivity concerns)
  • Share insights to support future estimating and planning improvements
6. Health & Safety Leadership
  • Ensure full compliance with all applicable safety legislation and internal policies
  • Lead by example in promoting a strong safety culture
  • Ensure completion and daily review of Job Safety Analysis (JSA) documents
  • Oversee implementation of safe work procedures and site safety plans
  • Confirm all workers are properly trained and competent for assigned tasks
  • Conduct or participate in incident investigations and corrective actions
  • Ensure corrective measures are implemented for unsafe conditions or behaviours
  • Maintain safe site conditions including equipment, tools, and protective systems
  • Oversee emergency response planning and site security measures
  • Coordinate safety documentation, inspections, and regulatory reporting
  • Conduct regular planned job observations and safety audits
  • Ensure subcontractor compliance with safety requirements prior to site entry
  • Promote ongoing safety communication, training, and toolbox talks
7. Strategic & Leadership Responsibilities
  • Support manpower planning and workforce forecasting
  • Contribute to recruitment and resource allocation decisions
  • Participate in operational and strategic improvement initiatives
  • Identify opportunities for process optimization and cost efficiency
  • Provide field feedback to improve estimating, scheduling, and execution systems
  • Support long-term operational planning based on project performance trends
