Summary:This Administrative Assistant position supports the medical program's Instructional Support Coordinators (ISCs) by monitoring and tracking immunization and placement records for students enrolled in medical and EMS programs. This role assists the ISC in maintaining compliance with program requirements, ensuring immunization records and other admissions documentation stay current and meet program standards. The position also coordinates with students and faculty to verify required documentation and works with the ISC on related administrative tasks, including American Heart Association (AHA) certification tracking and job/education placement data, to support daily program operations and the overall success of student training.Hours: 4 hours each Tuesday through Friday. The employee can flexibly work these shifts, either from 8-12:00, 9-1:00,10-2:00, or 11-3:00. This can be arranged with the supervisor. Dixie Tech is a public technical college located on a new state-of-the-art campus in St. George, Utah. The College has 30 Council on Occupational Education-accredited programs that offer certifications in high-demand, high-pay professions.Essential Duties and Responsibilities:Responsible for collecting and tracking student immunization recordsCoordinate with the Instructional Support Coordinators and correspond with students to review and record job placement information.Help monitor student progress, placement, and completion data. Support instructor administrative needs in order to allow instructors to be in the classroom as much as possibleAssist programs with supplies, receiving, and inventoryHelp recruit and market for programs in order to maintain full enrollment in cohortsAnswer telephone calls, receive visitorsMonitor AHA class registrations and create AHA class rostersSchedule and set up AHA classesIssue AHA certification eCardsProvide support to the AHA Training Site CoordinatorAssist the ISCs in ensuring that programs follow accreditation standards and are in complianceCompliance with Dixie Tech Policies and ProceduresEnsure that students and staff are treated respectfully and equally without regard to their race, color, religion, sex, age (40 or over), national origin, disability, sexual orientation, gender identity, pregnancy, childbirth or pregnancy-related condition.
