Job Summary

We are seeking a dedicated and detail-oriented Patient Care Registrar to join our healthcare team. In this vital role, you will serve as the first point of contact for patients, managing appointment scheduling, medical records, and insurance information with professionalism and efficiency. Your energetic approach will ensure a smooth patient experience while maintaining strict adherence to clinical confidentiality policies and health information management standards. Responsibilities

  • Greet patients warmly and assist with check-in procedures at the front desk, ensuring excellent customer service and phone etiquette.
  • Schedule patient appointments accurately using EMR (Electronic Medical Records) systems such as NEXTGEN (A MUST BUT NOT PREFERRED) Epic, Meditech, Athenahealth, or eClinicalWorks.
  • Verify insurance coverage, process medical billing, and handle health insurance inquiries in compliance with HIPAA regulations.
  • Review and update patient medical records, ensuring completeness and accuracy of documentation including CPT coding, ICD-9/10 coding, and care plans.
  • Manage electronic health records (EHR systems), including data entry, documentation review, and record retrieval while maintaining strict confidentiality.
  • Coordinate with clinical staff to facilitate smooth patient flow and communicate appointment details effectively via phone or electronic messaging.
  • Support medical coding activities related to ICD coding and Medicare billing processes to ensure proper reimbursement.
  • Maintain proficiency in computer skills such as Microsoft Office, typing (including 10 key typing), and office management software to support administrative tasks efficiently.
  • Assist with medical scheduling, front desk operations, and clerical duties related to medical office management in a dental or clinic setting.
  • Uphold clinical confidentiality policies at all times while handling sensitive patient information and medical records.

Experience

  • Prior experience working in a healthcare setting such as a medical office or clinic is highly preferred.
  • Demonstrated proficiency with EMR/EHR systems including Epic, Meditech, Athenahealth, or similar platforms.
  • Strong knowledge of medical terminology, medical billing procedures, CPT coding, ICD-9/10 coding, and health insurance processes such as Medicare claims.
  • Experience with electronic health records management and health information management practices.
  • Bilingual abilities are a plus to assist diverse patient populations effectively.
  • Excellent communication skills—both verbal and written—are essential for engaging with patients and healthcare providers professionally.
