Job description

We are seeking a detail-oriented Customer Service and Billing Assistant to join our team!

Job Summary

In this role, you will help with the organization and running of daily office operations. We are a small, close knit, family-owned business and you will work with the owner at times. The ideal candidate will be a hard-working individual that can manage a variety of tasks and work diligently to solve those tasks. You need to be comfortable working with others in an office environment. Attention to detail and discretion, as well as, incorporating new and effective ways to achieve better results are needed. Your primary focus will be providing customer support and maintaining data entry records.

Key Responsibilities

  • Billing Administration:
    • Assist in the preparation and distribution of monthly utility bills.
    • Process move-ins and move-outs, ensuring final bills are generated correctly for departing residents.
  • Customer Support:
    • Handle customer interactions in person and on the phone which could include bill amounts, usage discrepancies, and payment history.
    • Post customer payments daily and assist with billing procedures.
    • Resolve disputes or billing errors in a timely manner.
    • Sort and distribute communications in a timely manner.
    • Prepare outgoing mail and packages.
    • Resolve office equipment related malfunctions and respond to requests or issues.
    • Coordinate with other departments to ensure compliance with established policies.
    • Maintain trusting relationships with suppliers, customers and colleagues.
  • Payment Processing:
    • Receive and post payments to customer accounts.
    • Manage delinquent accounts, including sending late notices and setting up payment plans according to company policy.
    • Assist customers with setting up online portals and auto-pay features.
  • Administrative Support:
    • Maintain organized digital and physical files for multiple properties.
    • Update customer databases.
    • Prepare basic monthly reports for staff regarding collection status and utility consumption.

Required Skills & Qualifications

  • Experience: Must have experience in customer service, billing, or accounts receivable (experience in utility billing is a bonus).
  • Communication: Exceptional verbal and written communication skills; ability to remain calm and helpful when dealing with frustrated callers.
  • Technical Skills: Proficiency in Microsoft Office (specifically Excel and Word for data entry and basic formulas).
  • Attention to Detail: High level of accuracy in data entry and the ability to find mistakes.
  • Problem Solving: Ability to research account histories and identify the root cause of billing issues and be detail oriented.

Preferred Qualifications

  • High school diploma required.
  • Knowledge of billing software is not required but helpful.
  • Punctual with strong attendance history.
  • Familiarity with office machines (e.g. printer, fax, etc.)
