Job description

We are seeking an organized, detail-oriented, and reliable Shop Office Clerk to keep our daily operations running smoothly. In this role, you will be the backbone of our shop’s back-office operations, handling everything from data entry and service documentation to invoicing and basic customer support.

The ideal candidate enjoys a fast-paced environment, can manage multiple tasks without losing focus, and possesses excellent organizational and communication skills.

Key Responsibilities

  • Data Entry & Record Keeping: Accurately enter service orders, parts inventory, customer details, and technician hours into our shop management system.
  • Invoicing & Billing: Prepare, process, and file invoices, receipts, and work orders. Assist with tracking basic accounts receivable/payable.
  • Documentation Management: Organize and maintain physical and digital filing systems for vendor receipts, warranties, safety logs, and customer histories.
  • Vendor & Inventory Support: Assist the Shop Manager in tracking parts inventory, checking in shipments, and communicating with suppliers regarding orders and deliveries.
  • Communication Hub: Answer the office phone, respond to email inquiries, and direct messages to the appropriate technicians or managers.
  • General Administrative Support: Keep the office area organized, monitor and order office supplies, and assist management with daily paperwork as needed.

Qualifications & Skills

  • Experience: 1–2 years of experience in an office clerk, administrative, or customer service role (experience in a mechanical, automotive, retail, or industrial shop environment is a big plus).
  • Tech-Savvy: Proficiency with basic office software (Microsoft Office, Google Workspace) and a quick ability to learn proprietary shop management or invoicing software.
  • Attention to Detail: High level of accuracy in data entry and paperwork.
  • Communication: Clear, friendly verbal and written communication skills for interacting with customers, vendors, and the shop team.
